Department Overview

This position provides Administrative and Dispatching support to the Environmental Services Department. They are the primary contact for effectively handling daily in-bound calls, emails, pages, and supporting timely and accurate coordination of EVS cleaning requests. The individual who holds this position exemplifies the OHSU mission, vision, and values and acts in accordance with OHSU policies and procedures.

Function/Duties of Position

Operations

Answering and dispatching all EVS 24/hr pager requests. Assists with dispatching EVS techs where needed. Manages heavy call volume through the shift.

Familiar with numerous guidelines, instructions, regulations, manuals, and procedures.

Work with multiple supervisors and admin staff on multiple shifts.

Communicate professionally and graciously, representing the EVS department.

Communicate effectively with a wide variety of individuals including employees, patients, patient family members, and staff. Use good communication skills to defuse upset persons.

Effectively communicate with Mission Control team.

Attend Mission Control Huddle.

Maintain knowledge of hospital bed tracking system (Epic), notify supervisors of issues, and manage EVS staff breaks/lunch times.

Use Epic to manage bed flow, assign beds, page EVS techs, and monitor delays.

Maintain knowledge of GE Tiles, report response times, and use it to manage bed flow and prioritization.

Monitor and report delayed transit and cleaning times to supervisors.

Report daily to EVS leadership using EVS Expeditor Worksheet.

Work independently, using judgment to make decisions based on OHSU policies and procedures.

Reporting

Use Epic software to pull reports and extract data, then manipulate in Excel for response and cleaning times.

Use GE Tile software to pull reports and extract data.

Create and maintain spreadsheets for EVS projects and procedures to improve workflow.

Quality and Safety

Monitor staff compliance to standard work and report to supervisors.

Submit work orders for maintenance repairs as needed.

Manage sensitive information regarding employees and patients appropriately.

Other Duties As assigned.

Required Qualifications

Two years of general office or secretarial experience; OR

An Associate’s degree or certificate in office occupations or office technology and one year of experience; OR

A Bachelor’s degree and one year of experience; OR

Equivalent training and experience.

Successful completion of a formal OHSU Administrative Internship Program may substitute for one year of experience.

Preferred Qualifications

Bachelor’s Degree

1 year EVS Technician experience

1 year Lead worker experience

2-3 years computer experience in a workplace setting

6 months-1 year Epic experience

Knowledge of Microsoft Office programs

Additional Details
