Position Overview

WeDriveU is seeking a detail-oriented and strategic Proposal Writer to support our growth initiatives by developing compelling, compliant, and persuasive responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and other formal bid opportunities. This individual will collaborate closely with sales, operations, finance, HR, and marketing teams to produce high-quality proposals that clearly communicate WeDriveU’s value, capabilities, and differentiators in the transportation management industry.

Key Responsibilities

  • Develop, write, and edit proposal content in response to RFPs, RFIs, and RFQs, ensuring accuracy, clarity, and compliance with submission requirements.
  • Coordinate the proposal process end-to-end, including timeline management, team assignments, data gathering, and final submission.
  • Collaborate with subject matter experts (operations, HR, safety, finance, recruiting, etc.) to gather relevant technical and business information.
  • Translate complex operational and service information into clear, persuasive, and client-focused proposal language.
  • Maintain a central repository of proposal templates, standard responses, resumes, case studies, and company data for reuse.
  • Ensure consistency in tone, branding, and messaging across all submissions.
  • Support presentations and post-submission clarifications as needed.
  • Track win/loss data and provide insights for continuous improvement in proposal quality and effectiveness.
  • Assist with developing executive summaries, capability statements, and supporting materials for new business pursuits.

Qualifications

  • Bachelor’s degree in Communications, English, Business, or a related field.
  • 3+ years of experience writing RFPs or proposals, preferably within transportation, logistics, government contracting, or a related service industry.
  • Strong project management and time management skills with the ability to handle multiple deadlines simultaneously.
  • Excellent writing, editing, and proofreading skills with attention to detail.
  • Familiarity with proposal software or document management systems is a plus.
  • Ability to work cross-functionally and adapt writing style to technical and non-technical audiences.
  • Experience with government, university, or large corporate procurement processes preferred.

Preferred Skills

  • Knowledge of public transit, shuttle operations, or transportation management services.
  • Experience supporting bids for municipal, university, or corporate transportation contracts.
  • Proficiency in Google Suite and Adobe Acrobat; familiarity with SharePoint or similar platforms.
