Event Planner - Onsite Concierge
Job Summary
Support the Director, Events in planning, logistics, and general event project management. Independently manage assigned events, including project management, vendor management, event design and production, event technology, and mobile applications. Consult with stakeholders, act as the focal point for meeting and event support, and provide leadership and project management in direct support of organizational objectives. Manage operations of the Portland Hub space, booking and managing onsite spaces, and full event planning including hotel blocks, catering, dinners, transport, activities, and logistics for larger events.
Principal Duties & Responsibilities
50% Event Planning & Execution
Ownership of all phases of assigned event execution, including project plan, budget management, regular communications with Director, Events, and leadership team, on‑site management of all event deliverables, and post‑event analysis.
Direct accountability for event logistics (site selection, vendor/supplier management, travel/lodging/meals/entertainment, agenda, media, meeting space).
Manage onsite logistics and setups, oversee building setup and AV tech vendor contractors.
Liaise with multiple enterprise‑wide stakeholders to plan events for all departments.
Research and maintain contracts and updated lists of local suppliers.
30% Manage Logistics, Deliverables, and Technology Platforms
Oversee event technology platforms, online registration system, mobile app platform, and virtual event platforms and vendors.
Design registration websites and manage generated emails and reports.
Utilize industry benchmarks to improve event delivery and budget utilization.
10% Budgeting/Data Tracking
Administer budget previews, routine reporting, audit and approve invoices, manage income taxation information for attendees.
10% Other Events, Projects, & Program Support
Support Director, Events and company leadership on other projects and programs aligning with divisional sales objectives.
Required Skills
Exceptional organization and event planning and logistics background.
Experience using technology tools to track metrics and ROI for events.
Excellent interpersonal, verbal, and written communication skills.
Creativity and problem‑solving skills.
Self‑motivated and efficient in process improvements.
Proficiency in Excel, PowerPoint, and Salesforce (recommended).
Strategic focus on metrics and data.
Job Specifications
Required education: High School Diploma.
Preferred education: Bachelor’s degree in business administration, marketing, or related field.
Required experience: 2‑3 years in corporate event and/or meeting planning with large‑scale national attendance.
Preferred professional licensure or certification: CMP.
Location and Travel Employees must be available to commute to an office or otherwise be in a specific geographic location to perform job functions.
Travel Requirements: Occasional travel only (planning purposes, team‑building, conferences).

Compensation Salary Range: $64,250.00 – $94,000.00. Positions will be posted for at least 5 days from original posting date. Compensation may include incentives and bonuses subject to performance and sales activity.
