Job Responsibilities

Financial Oversight

  • Assist in the formulation of budgets.
  • Ensure work stays within established budget guidelines.
  • Collect rents on time, process bank deposits, and maintain recording accuracy.
  • Perform evictions, utility cutoffs, and landlord liens as required.
  • Submit and approve invoices in the appropriate system for timely payment.
  • Complete month‑end procedures and reports including deposit accounting, variances, expiring leases, write‑off register, receivable aging, security deposit activity, and gross potential rent.
  • Safeguard and reconcile the property credit card according to accounting policies and deadlines.

Personnel & Leadership

  • Hire, train, empower, motivate, supervise, discipline, and terminate onsite staff under HR guidance.
  • Conduct ongoing training (marketing, leasing paperwork, workplace safety, etc.) and coach staff for strong professional relationships.

Administrative/Office/Compliance

  • Maintain lease files in compliance with MFTE, Section 8, and other program requirements.
  • Ensure office opening is timely and condition of office and model apartments is maintained.
  • Attend scheduled corporate management meetings (typically quarterly).
  • Record and submit required reports to the corporate office on a weekly and monthly basis.
  • Prepare for audits and complete annual reporting.

Resident Relations

  • Initiate and perpetuate a true sense of community.
  • Maintain a positive customer service attitude.
  • Handle resident move‑in/move‑out inspections and regulate move‑out notices.
  • Implement policies/procedures for resident communications.

Maintenance

  • Walk and inspect property regularly; verify condition of vacant apartments.
  • Update make‑ready board indicating vacancy status; coordinate with maintenance staff for timely reconditioning.
  • Oversee or delegate maintenance supervisor on vendor/contractor communications related to scheduling, billings, relations, and certificates of insurance.
  • Monitor all maintenance activities.

Marketing/Leasing

  • Conduct monthly market surveys and trend reports; stay aware of neighborhood market conditions.
  • Show property to prospective new residents; handle incoming calls and complete paperwork.
  • Maintain awareness of market and industry conditions via trade publications, professional organizations, etc.

Safety and Risk Management

  • Report all liability and property incidents to Regional Manager and Home Office departments immediately.
  • Ensure all workers’ compensation claims are reported with proper paperwork.
  • Familiarize yourself with Thrive and property‑specific policies on water intrusion, apparent mold growth, and other safety programs.
  • Complete safety checklists with maintenance staff and conduct monthly safety meetings.

General

  • Conduct all business in accordance with Company policies and procedures.
  • Perform additional duties as assigned by the Regional Manager.

Desired Skills & Experience

  • 3+ years of experience in property management or equivalent.
  • 6+ months of supervisory experience with strong leadership skills.
  • Certified Apartment Manager (CAM) preferred.
  • High School Diploma or equivalent preferred.
  • Experience with Yardi/CRM and On‑Site preferred.
  • History of accurate reporting and budget oversight.
  • Experience in daily pricing and dynamic market trends.

Desired Competencies

  • Detail oriented with ability to provide accurate and timely reports.
  • Understanding of basic property budget, accounting, and expense control.
  • Strong communication, conflict de‑escalation, and cultural awareness.
  • Proficiency in Microsoft Word, Outlook, and Excel.
  • Ability to read, write, speak, and comprehend English with correct grammar and punctuation.
  • Strong time management, organization, prioritization, and resident retention focus.

Physical Requirements

  • Ability to stand and walk or sit alternatively; ~60% time on feet, 40% at desk.
  • Constant computer use and phone answering.
  • Occasional bending, stooping, squatting, climbing stairs, pushing/pulling, and reaching above shoulder.
  • Ability to lift/move up to 25 lb occasionally; frequent lifting up to 20 lb.
