Job Overview The Finance and Operations Administrator supervises the fiscal administrative activities of CCM Prep and implements systems to enhance efficiency and resource allocation. The position is full time with occasional Saturdays, evening hours, and flexible hours for special events and audition management.
Essential Functions Financial Administration (50%)
Coordinate and monitor fiscal administrative duties.
Process monthly payroll functions.
Complete division purchasing in PACE or Concur.
Oversee accounts receivable.
Monitor financial status of each program, class and fund in CCM Prep.
Prepare monthly financial reports for each fund with CCM Business Office and submit to Assistant Dean and Dean.
Operations Administration (50%)
Develop unit policies and procedures.
Coordinate housing and transportation for summer programs.
Manage space reservations and calendars for classes, lessons and performances.
Maintain CCM Prep’s public information, including website updates, event calendar and performance programs.
Coordinate personnel transactions and annual contracts for employees and part‑time contractors.
Ensure compliance with minors protection policy.
Manage access control through parking, keys and IDs with UC Parking and CCM Performance Management.
Oversee volunteers and student helpers.
Perform related duties as needed.
Span of Control
Autonomy – work independently with guidance from supervisor for problem resolution.
Fiscal Authority – request approval for financial actions beyond limited scope per policy.
Supervisory Responsibility – may oversee one or more student workers, including graduate assistants.
Required Education Bachelor’s Degree in accounting or related field. Six (6) years of relevant work experience or specialized training may substitute for education.
Required Experience
Two (2) years of finance or accounting experience.
Two (2) years of non‑profit administrative experience.
Additional Qualifications Considered
Knowledge of performing arts education programs.
Experience administering grants.
Experience overseeing multiple revenue streams and creating a yearly budget.
Proficiency with Excel, Concur, SAP.
Physical Requirements / Work Environment Office environment with no unusual physical or environmental demands.
