She Runs It is a 110-year-old 501(c)(3) nonprofit that exists to pave the way for more women of all ethnicities and identities to lead at every stage of their careers in marketing, media, and tech. She Runs It creates connection and community through curated programming, networking events, and thought leadership.
Position Summary We’re seeking an energetic, highly organized
Events & Marketing Coordinator
to support and coordinate activities for the Events and Marketing team. This role reports to the Director, Events and Marketing Operations. The Coordinator will help plan and produce events, manage communications, and support office administration to keep operations running smoothly. The ideal candidate is a creative problem solver who thrives in a fast-paced environment, anticipates needs across departments, and enjoys working both independently and collaboratively. Because we’re a small and collaborative team, this role will also support other projects and initiatives as needed to achieve organizational goals.
Key Responsibilities Event Planning & Production
Coordinate, manage, and host virtual meetings, webinars and events (including Zoom and Teams) including spotlighting key speakers and ensuring smooth presentation flow, including breakout rooms and recordings.
Schedule and participate in prep calls with event panelists and team members.
Post and update event listings on the She Runs It website and Eventbrite, including development of graphics in Canva.
Manage event registration, refunds, attendee lists, name badges, and onsite check-in.
Assist with on-site production, staffing, volunteer coordination, and clean‑up.
Create presentations and supplemental materials for events using Canva and PowerPoint.
Assist in live streaming of events.
Marketing & Communications
Create and schedule email marketing campaigns (MailChimp), including newsletters, member communications, and event promotions.
Collect committee dates and prepare monthly newsletters for multiple regions.
Produce graphics for email and event materials using Canva.
Post and manage job listings and other website content as needed.
Propose new ideas to improve the event planning, production, and marketing process.
Administrative Support
Provide administrative assistance to the CEO and leadership team, including scheduling and inbox management.
Develop and manage the She Runs It nomination application process, including creating applications and organizing incoming submissions.
Maintain the accuracy of our audience files.
Support website maintenance across event listings, job bank, board/staff directory, and blog posts.
Maintain internal databases, ensuring accuracy and updates.
Qualifications
Bachelor’s degree or equivalent experience in event planning, marketing, or administrative support.
1–3 years’ experience coordinating events, communications, and/or operations in a fast‑paced environment.
Creative problem‑solver who is resourceful, self‑motivated, and highly organized.
Strong organizational, written, and verbal communication skills.
Comfortable managing multiple projects and deadlines in a fast‑paced environment.
Comfortable juggling multiple deadlines and working occasional early mornings/evenings or travel as needed.
Proficiency with Microsoft Office Suite, Google Docs, Canva, event platforms (Zoom, Teams, Eventbrite), Mailchimp, Airtable, and Zapier.
