The Expeditor I is responsible for driving and tracking all pre‑delivery document submittals in accordance with the contract and project schedule. Drive improvement in suppliers’ on‑time delivery performance by prioritizing outstanding supplier documents. This includes expediting new, missing, or returned documents from the supplier and/or engineering. Conduct weekly analysis on supplier documentation performance to improve poorly performing suppliers. Participate in weekly engineering calls to provide updates and status of document submittals, and in weekly project expediting meetings to ensure submittals are received for engineer review and returned to vendor per the schedule. This role requires an individual with good communication and problem‑solving skills who uses their own initiative to source and close document submittal issues. Identify and raise ongoing supplier documentation issues to the Project Expeditor and/or the Expediting Manager. The Expeditor II role emphasizes a proactive, systematic, and standardized approach that aggressively pursues all available courses of action to detect and avert delays to the contractual delivery date stated within the contract. Provide detailed updates to all stakeholders on the status of supplier document submittals. Deliver effective document expediting support and coordination for the engineering and construction teams. Depending on project requirements, other tools or systems may be used to support expediting efforts. Additional responsibilities include meeting agenda preparation, publishing meeting minutes, and miscellaneous expediting functions as required to support the project.

Responsibilities

Perform all expeditor duties in accordance with the project expediting standard operating procedure for the project in which assigned, focusing on documents as defined above.

Run expediting calls with suppliers and the project team to support assigned packages and document status.

Provide updates to the project team on deliverables according to the contract to support advanced work packaging.

Attend weekly project meetings.

Perform expediting activities associated with ensuring on‑time delivery of equipment/material and documentation.

Could be required to embed in a fabrication facility or jobsite as required.

Travel required up to 25% of the time for home‑office positions.

Qualifications

High school diploma or GED.

1–3 years of relevant work experience.

Experience with Microsoft Office Suite (Windows, Excel, Outlook, Word, etc.).

Critical thinking and problem‑solving skills to plan and perform work where only general policies or procedures are available.

Experienced communicator with effective verbal and written communication that allows for relationship and rapport building.

Ability to work independently with minimal direction.

Ability to recognize timelines and deadlines to prioritize work accordingly.

Preferred Qualifications

Associate or bachelor’s degree.

2–5 years of relevant experience.

Expediting experience in large industrial construction projects.

Experience leading and managing others.

Experience/working knowledge of Oracle.

Intermediate to advanced knowledge of working with Microsoft Office Suite (Windows, Excel, Outlook, Word, etc.).

Work Environment Employee will work in multiple environments, including an office, warehouse, and in a trailer or building on sites. On work sites, noise levels will be moderate to high. The job site will contain light to heavy equipment, vehicles, small to large equipment, materials, communication equipment, and tools. People will be standing, walking, sitting, signaling, and talking, with bells, whistles, and alarms.
