About the Role We are seeking a highly organized and detail‑oriented Procurement Specialist to join our team. This individual will support the design team by managing all aspects of procurement (purchasing), proposing and invoicing. The ideal candidate is resourceful, proactive, and thrives in a fast‑paced, interior design‑driven environment.
You will be responsible for managing procurement, tracking orders, ensuring materials meet project specifications, resolving freight issues, and communicating updates across designers, vendors, and clients. This is an administrative‑heavy position and requires someone that is very focused on detail.
Procurement Specialist Key Responsibilities
Create proposals, and accurately document specifications for interior design projects
Process purchase orders and maintain detailed order acknowledgements
Maintain constant communication with vendors to meet delivery timelines and project deadlines
Provide regular order updates to designers and clients
Coordinate freight scheduling, pickups, deliveries, and white‑glove services
Request, approve, and process vendor quotes
File and manage freight claims promptly; negotiate recovery when applicable
Problem‑solve product issues while protecting business and client interests
Follow up diligently on outstanding claims and back‑ordered items
Manage client‑related collections / invoicing
Assist with FF&E installation preparation and execution
Support designers with project‑related needs and documentation
Conduct project close‑outs and ensure accurate final documentation
Assist designers as needed with mood boards and product specifications
Meet with vendor representatives to review current offerings
Attend meetings with clients as needed
Procurement Qualifications
Proven experience in procurement (custom orders), purchasing, and FF&E project coordination (design industry experience or related required)
Highly organized with exceptional attention to detail
Strong verbal and written communication skills
Ability to multitask and manage numerous deadlines
Professionalism and strong judgment when handling vendors and clients
Problem‑solving mindset with commitment to proactive follow‑through
Experience navigating freight processes and claims a plus
Experience in interior design or related field preferred
Studio Designer experience is preferred, but not required
Bachelor's Degree preferred
Pay:
$55,000.00 - $60,000.00 per year
