Job Description Reporting to the Dean of University Libraries, the Executive Assistant will provide high‑level administrative support to the dean by performing excellent project management, calendaring, communication duties, and managing the Libraries administrative office.

The role includes:

Managing the dean's office, administering the dean's schedule, and coordinating communications from the dean's office to the Libraries and the university.

Direct supervision of staff and student employees in support of the Libraries’ administration office reception and office functions (1 FTE classified staff and up to 4 student employees).

Coordinating with all staff in the Libraries administrative office areas to ensure all office functions are properly supported.

Supporting clerical and administrative tasks for the Libraries’ Associate Dean, Academic and Administrative Directors.

Participating in senior level administrative meetings and actively managing stewardship and cultivation of donors and prospective donors.

Scheduling meetings, creating meeting minutes, and updating the Libraries’ staff Google Site and various internal documents from Libraries’ Administration.

Coordinating the academic faculty evaluative processes, including annual evaluations, merit, promotion & tenure, and outside activity request approval as specified by the NSHE Handbook, UNLV bylaws and University Libraries Faculty bylaws.

Liaising with the Libraries Faculty Promotion and Tenure Committee and UNLV Faculty Affairs to ensure that all faculty processes are managed and processed according to policy and communicating with Provost's and President's office regarding forms, deadlines, record-sharing, and procedures.

Minimum Qualifications

Competence and sensitivity in working with individuals who are highly diverse regarding many facets of identity, including but not limited to gender, ethnicity, nationality, sexual orientation, ability, income, level of educational attainment, and religion.

Exceptional interpersonal, written, and verbal communication skills with the ability to communicate effectively and resolve issues and problems while providing excellent customer service.

Minimum of one year of supervisory experience.

Strong organizational skills with experience managing complex projects, prioritizing tasks, and working autonomously to handle multiple projects and responsibilities effectively.

Critical thinking and problem‑solving skills to analyze information, identify needs and formulate solutions.

Familiarity with the mission and services of academic institutions.

Ability to maintain a high level of attention to detail and commitment to accuracy.

Ability to exercise sound judgment and to exercise complete discretion in the management of confidential information.

Ability to develop and cultivate strong and collaborative relationships within the library and institution.

Excellent working knowledge of computer programs such as Excel, Word, and Google Workspace.

Preferred Qualifications

Knowledge of higher education organization, governance, and structures.

Salary This is a full‑time, 12‑month, Administrative Faculty position at a Grade B. Minimum salary is $70,000. Salary is competitive with those at similarly situated institutions and dependent upon labor market.
