Job Summary
A role in Houston, TX supporting the Design Department to manage design documentation, coordinate permitting activities, import coordination, and maintain project organization. Responsibilities include preparation, review, and tracking of design and construction documents while ensuring effective communication between internal teams and external partners. Ideal candidate: detail‑oriented, proactive, capable of managing multiple priorities in a fast‑paced environment. Duties/Responsibilities
Due Diligence & Documentation
Assist the Design Team with due diligence for new projects. Help compile documentation and drawings required for permitting, working closely with Project Managers and the Permitting Coordinator. Order and track design documents such as architectural, structural, and energy reports as needed. Maintain detailed records of all ordered documents and ensure timely receipt and distribution.
Design Coordination & Review
Assist in reviewing residential and commercial building codes as needed. Support review of design documents and permit packages to identify potential discrepancies, errors, or omissions. Collaborate with Project Managers and third‑party vendors to resolve design issues and facilitate revisions. Assist in drafting plot plans, floor plans, and elevation revisions as required.
Project Management
Assist Senior Project Manager in coordination, planning, and execution from concept to completion. Help prepare and maintain project schedules, milestones, and deliverables to ensure projects remain on track. Support budget tracking and cost control, including preparing budgets and invoice processing. Monitor project progress and update internal tracking systems. Facilitate communication between design, construction, permitting, and procurement teams. Assist with identifying project risks and coordinating mitigation. Participate in project meetings, prepare meeting notes, and follow up on action items. Maintain organized project documentation, drawings, and correspondence.
Import Coordination
Coordinate with import team overseas to track imported materials, products, or design elements.
Qualifications
Bachelor's degree in Architecture, Construction Management, Design, or related field (preferred). 2-3 years experience in design coordination, permitting, import coordination, or project management support. Proficiency in Microsoft Office Suite; experience with AutoCAD, Bluebeam, Adobe Suite or similar design software. Strong organizational and communication skills with excellent attention to detail. Ability to manage multiple tasks and meet deadlines in a collaborative environment. Bilingual in English and Mandarin preferred. Essential Functions
Report to the office daily to adhere to schedule including weekends and holidays. Ability to access, input, and retrieve information from a computer or electronic device. Excellent organization, coordination, and project management skills. Lift or move items up to 25 pounds. Walk, sit or stand for long periods.
