Access Ingenuity
Access Ingenuity is expanding our team and looking for a Marketing Associate who can keep projects moving, write with clarity, and manage deadlines. In this role, you’ll support our proposal pipeline from intake and compliance through content and submission, and help run campaigns that build demand for our services in:
Document remediation
Website and mobile accessibility testing
Alternate format production, including Braille, large print, audio, and accessible PDFs
What You’ll Do Responding to Requests for Proposals (RFPs) and Requests for Quotes (RFQs) (Approximately 60%)
Track new RFPs from public-sector and enterprise sources and manage a shared calendar of opportunities, including GSA and other federal and state opportunities.
Lead proposal development from kickoff through submission, including schedules, checklists, required forms, and sealed/portal submissions (e.g., PlanetBids, Bonfire, OpenGov/ProcureNow).
Draft, edit, and format proposals, capability statements, and pricing files in accessible Word, PDF, and PowerPoint formats.
Keep company content current, including case studies, resumes, certifications, and overall company qualifications.
Coordinate teaming agreements (prime/sub, NDAs, and supplier registrations (SAM.gov and local vendor systems).
Ensure accessibility and brand standards are met in everything submitted (styles/heading hierarchy, alt text, color contrast, accessible PDF).
Track outcomes; capture debriefs; implement win-loss insights and reusable content.
Marketing & Demand Generation (Approximately 30%)
Build targeted email/social/webinar campaigns for core verticals (public agencies, higher‑ed, healthcare, enterprise).
Refresh website and landing pages for service lines (PDF accessibility remediation, WCAG web accessibility audits, alternate formats) with accessible UX.
Create one‑pages, sales decks, and reusable proposal inserts that reflect client needs and outcomes.
Work with Sales team to maintain accurate CRM data and track campaign performance.
Analytics & Operations (Approximately 10%)
Report on proposal volume, outcomes, and marketing‑sourced opportunities.
Keep vendor registrations, certifications, and supplier information up to date.
Maintain current content for standard company materials and templates.
What You’ll Need to Bring (Education and Career Experience)
Bachelor’s degree in business with an emphasis on marketing; MBA preferred.
2–4+ years’ experience in proposals, marketing, or business development (professional services or public-sector experience a plus).
Direct experience managing RFP/RFQ submissions, including compliance checks and online portal submissions.
Excellent writing and editing skills, able to explain accessibility work in clear, client‑focused terms.
Proficiency in Microsoft 365 (advanced Word and Excel) and Adobe Acrobat.
Familiarity with the Web Content Accessibility Guidelines (WCAG) 2.2, Section 508, and PDF/UA – or the ability to learn quickly.
Comfortable using CRM and file management tools such as HubSpot, SharePoint, or Google Drive.
Organized, dependable, and steady under deadlines
Nice to Have
Experience with California public‑sector procurement (cities, counties, CSU/UC, community colleges).
Knowledge of assistive technology (JAWS, Dragon, etc.), digital accessibility and alternate format production.
Light design/visual system skills (layouts, diagrams, infographics) and webinar/event coordination.
Success Metrics in the Role
Within
90 days : RFP/RFQ calendar is active and accurate, submissions are 100% on time, content library is organized, and accessibility standards are applied consistently.
Within
6 months : Proposal turnaround time improves by 20%, shortlist rates increase by 10%, and marketing campaigns are running consistently for each service line and customer groups.
Compensation: Access Ingenuity offers competitive compensation depending on experience and a comprehensive benefits package.
Base salary range:
$72,000 – $82,000 , depending on experience
Annual performance bonus target:
$5,000
Hybrid work environment (remote + in‑office in Santa Rosa, CA). Option for fully remote for experienced candidates.
