Communications Specialist and Administrative Assistant
Location:
Ascent Classical Academy of Grand Junction (ACAGJ)
Reports to:
Headmaster
Work Hours/Days:
School days 7:00 am – 3:30 pm; professional development days as scheduled
Position Summary Are you passionate about classical education and eager to help expand awareness and understanding of the liberal arts?
You will support the Headmaster, manage communications, and coordinate administrative tasks that enable the school community to thrive.
Duties and Responsibilities
Headmaster Support:
Organize online files and resources (e.g., Google Drive)
Communicate Hillsdale resources
Schedule Zoom events on the Faculty Google Calendar
Manage file sharing
Take attendance at monthly staff meetings
Write thank‑you notes for various reasons
Know safety protocols and support the Headmaster and staff as needed
Social media and mass communication coordination:
Campaign management, content design, and post scheduling
Regular logo/branding design in conjunction with Magis Guild/Marketing firm
Parent and staff newsletter creation and scheduling, school‑wide announcements, and emergency announcements
QGiv Management
Event scheduling:
Ensure official letterheads and branding are used on all materials
HR support and hiring:
Schedule interviews for the Headmaster
Print interview questions and desired documents
Ensure onboarding with Minga is complete before campus arrival via Monday.com
Complete on‑campus onboarding with new hires
Support termination (off‑boarding)
Introduce new hires via email, newsletter, or staff meeting per Minga
Staff events and appreciation:
Staff orientation prep, holiday party, end‑of‑year BBQ, staff lunches, birthday acknowledgement, monthly happy hours, and other events
Front office support:
Back‑up visitor check‑in/out
Use campus phones
Cross‑train on pickup patrol and attendance
Other tasks:
Welcome visitors for the Headmaster
Provide hospitality (water/coffee)
Know Wi‑Fi passwords for staff, students, guests, and IT
Maintain accurate mailboxes in the workroom
Coordinate with Alerio IT for support
Assist office volunteers on campus
Coordinate purchasing of new staff Ascent gear
Coordinate FRL uniform orders with the registrar
Systems to use and know:
PowerSchool – student records, schedules, behavior violations, teacher schedules
Tagg – substitute teacher check‑in
iSolved – cloud or classic view, applicant tracking system
Minimum Job Requirements
Associate's degree or higher
Experience in customer service, marketing, communications, or related fields
Commitment to the mission and vision of ACACS
Excellent interpersonal, oral, and written communication skills
Superior organizational, communication, and computer skills (Microsoft Office, Adobe Creative Suite, ActiveCampaign or other CRMs)
Physical Requirements
Ability to lift up to 15 pounds
Ability to navigate classrooms and school grounds
Prolonged periods of sitting at a desk and working on a computer
Ability to supervise outdoor duties
