Title: Events and Marketing Coordinator Details:

Schedule: Monday-Friday 8am-5pm

Location: 100% in office in Edina, MN

Type: minimum of 6 months; will evaluate business needs at that time to see if the contract can be extended another 6 months+

Pay: $35-$40/hr depending on experience level

Responsibilities:

Coordinate event logistics, including securing vendors and contracts, communicating with internal and external stakeholders, managing guest lists and RSVPs, scheduling program details, and overseeing event app management.

Conduct research to support the Marketing Communications (Marcomm) team, including press lists, event planning, vendor sourcing, promotional items, and campaign execution.

Support management of orders (business cards, literature, rentals) and maintain inventory for a weekly basis.

Track and report on digital channel performance (social media and website), including organizing and tagging digital media assets.

Monitor and assist with event-related invoices and budget tracking.

Support internal communications, including drafting and scheduling emails, coordinating content for the weekly newsletter, and updating relevant materials.

Assist with campaign initiatives and public relations activities as needed.

Perform miscellaneous administrative tasks to support the team, such as shipping, scheduling and attending meetings with note‑taking, preparing presentations, and maintaining templates.

Requirements:

Minimum of 3 years of event planning and coordinating or project management experience (preferably within the event space), demonstrating the ability to manage timelines, budgets, stakeholders, and multi‑phase event workflows.

Must have marketing work experience

Experience with HubSpot would be beneficial (not required)

Collaborative team member with a positive attitude, adaptable to changing processes and fast‑paced environments.

Strong communicator who builds positive relationships with colleagues, vendors, and internal stakeholders.

Detail‑oriented and organized, ensuring documentation, scheduling, event logistics, and project tasks are completed efficiently and on time.

Proactive problem‑solver who anticipates needs, identifies solutions quickly, and supports smooth operations across teams.
