Design Studio Support & Site Operations Assistant

About the Role: We’re seeking a highly organized and self‑motivated individual with industry experience in interior design or construction—no design degree required. This is a position supporting a fast‑paced, high‑end residential interior design firm.

This position supports the team through a blend of administrative coordination, project support, and hands‑on site assistance. It is ideal for someone highly organized, communicative, and comfortable working in both creative and operational environments.

Responsibilities

Studio & Administrative Support Provide day‑to‑day administrative assistance to the studio team.

Assist with documentation, filing, project tracking, and preparing presentations or reports.

Help maintain an organized, efficient, and welcoming studio environment.

Project & Logistics Coordination Track orders, samples, and materials to ensure timely arrival and accurate documentation.

Support designers with project‑related tasks. Coordinate deliveries, pickups, and vendor communication.

Ability to ask questions when needed, and keep project managers and lead designers in the loop at all times is a must.

Site Operations & Field Support Conduct site visits for deliveries, inspections, and progress checks.

Verify installations, take measurements, document site conditions, and report findings back to the design team.

Serve as a point of contact for contractors, suppliers, and delivery teams.

Troubleshoot minor on‑site issues and ensure quality and accuracy align with studio standards.

Skills & Attributes Strong organizational and multitasking abilities.

Clear communication skills, both written and verbal.

Comfort with being on‑site, interacting with contractors, and representing the studio.

Problem‑solving mindset and high attention to detail. Ability to work independently, proactively, and collaboratively.

Requirements Education & Experience Previous experience in an administrative, coordinator, or operations support role in the interior design or construction industry. Experience with site visits, field coordination, or working with contractors/suppliers is beneficial but not required.

Technical Skills Proficiency in general office software (Microsoft Outlook). Comfortable using project management or task‑tracing tools (Asana and Studio Designer (or similar)). Ability to take clear site photos and document conditions accurately.

Operational & Administrative Skills Strong organizational and time‑management skills. Ability to manage multiple tasks, deadlines, and priorities. Experience coordinating deliveries, contractors, or logistics is advantageous. Accurate data entry, documentation, and record‑keeping skills.

Communication & Interpersonal Skills Professional communication skills, both written and verbal. Ability to represent the studio professionally during site visits and vendor interactions. Comfortable working with designers, project managers, suppliers, and contractors. Strong problem‑solving abilities and a proactive approach to tasks.

Physical & Site Requirements Comfortable traveling to local job sites as needed. Ability to conduct site walks, inspections, and basic measurements. Ability to handle minor on‑site tasks (e.g., moving samples and boxes, verifying deliveries).

Personal Attributes Detail‑oriented, dependable, and highly organized. Positive, can‑do attitude with a willingness to help wherever needed. Flexible, adaptable, and comfortable working in both office and field environments.
