Communications Administrative Coordinator

The Communications Administrative Coordinator provides essential administrative and communications support to the Office of Marketing and Communications and the Vice President. This hybrid role ensures smooth operations and contributes to high-visibility internal and external projects through effective coordination, attention to detail, and proactive problem-solving. The ideal candidate is highly organized, professional, and discreet, with strong interpersonal and communication skills. You will help implement process improvements to enhance departmental efficiency. This is a hybrid position; campus presence is required as needed. Essential Duties and Responsibilities:

Process and track departmental invoices, expense reports, and division budget with accuracy.

Coordinate internal/external meetings and retreats for the Vice President, including managing calendars, booking rooms, arranging catering, and preparing materials.

Assist with project management (e.g., in monday.com), sourcing vendors, tracking campus partner deliverables, and confirming final product delivery.

Provide basic formatting for documents/presentations, manage branded promotional item inventory, and maintain the physical collateral archive.

Help plan logistics for institutional events and strategic initiatives (e.g., photo/video shoots).

Help identify and implement tools and technology to streamline department workflows.

Provide general administrative assistance to the Vice President.

Required Qualifications:

Recent college graduate (Communications, Marketing, or Journalism major) OR 1-3 years of relevant work experience (administrative/secretarial, with general knowledge of communications/project management).

Strong proficiency in Google Suite (Gmail, Docs, Sheets, Calendar, etc.).

Ability to manage departmental budget. Highly organized, proactive, and detail-oriented, with excellent time management skills.

Preferred Qualifications: Experience with event/meeting coordination and document formatting/layout.

Excellent written/verbal communication, including proofreading.

Proven ability to handle confidential information discreetly.

Familiarity with platforms like Workday, monday.com, Marketing Cloud, or Canva.
