Job Description The Proposal & Graphic Design Coordinator is the visual voice of Catalyst: protecting, shaping, and elevating the brand across proposals, content creation, digital platforms, and external communications. This role blends creative design with strategic communication, supporting fast-moving pursuits and high-impact marketing initiatives.
Proposals & Pursuits
Lead development of proposal materials from rough draft to polished final product, writing, formatting, coordinating, and keeping everyone on track
Support award submissions, press releases, presentations, and company communications with strong visuals and messaging
Maintain a sharp eye for accuracy, brand consistency, and compliance with RFP requirements
Manage and update project profiles, resumes, and other boilerplate information so the team is always working from the latest and greatest
Work closely with project teams, leadership, and marketing to ensure deadlines are met, even when they move
Graphic Design & Branding
Champion the company’s visual identity, protect it, evolve it, and ensure consistency across every touchpoint
Create and update marketing collateral, including brochures, email marketing, print, presentations, campaign graphics, and digital assets
Design integrated marketing campaigns that show powerfully across digital and print
Support blog and social content with strong visuals, illustrations, infographics, and promotional imagery
Manage and curate internal image and content libraries
Collaborate with outside vendors on photography, video, website design, and other creative services
Advise on design best practices and keep the team informed
Bring concepts to life visually: layout, image selection, typography, hierarchy, and style that tells a clear story
Other Responsibilities
Provide graphic and marketing support to departments as needed
Help maintain company website content, including project pages and image libraries
Support social media content development with graphics, visuals, and timely updates to strengthen brand presence and engagement
Create internal communications and announcements that are professional, polished, and on brand
Collaborate with the marketing team on timelines, deliverables, analytics, and continuous improvement
Attend meetings and trainings as assigned
Take ownership of assigned projects and see them through to completion
Requirements
Bachelor’s degree in graphic design, communications, marketing, or a comparable mix of education and experience
3–5 years of experience in marketing, design, or communications
Experience in construction, architecture, or engineering is a bonus
1+ year in proposal development OR 3+ years in a fast-paced marketing or administrative role
Fluent in Adobe Creative Suite and Microsoft Office; comfortable with Canva
Skilled at transforming technical information into compelling proposal documents and visual content
Strong creative instincts and a sharp design eye
Passionate about digital, social, and integrated marketing
Natural collaborator and relationship-builder
Confident communicator with strong writing and editing skills
Highly organized, self-driven, and capable of juggling multiple deadlines
Works well with a distributed team
Familiarity with A/E/C terminology and processes is great, but curiosity is key
Excels under pressure and tight timelines
Regularly required to move, sit, and bend for various hours throughout the day
Reliable transportation
Ability to travel to job sites even in inclement weather
Added Advantage Qualifications
CRM experience, specifically HubSpot
Website design and development experience, specifically with WordPress
