Position Summary The Marketing Coordinator provides essential support to the marketing team in executing advertising, email, and social media campaigns, while also handling critical administrative tasks that enable the team to meet its commitments. This role focuses on media buying support, invoice and budget tracking, advertising performance reporting, email coordination and coding, and other operational tasks. The Marketing Coordinator works closely with the Assistant Director of Marketing and Marketing Managers to ensure marketing initiatives are delivered on time, on budget, and to the highest standard.
Responsibilities 40% Media Planning, Executing, and Reporting:
Coordinates advertising logistics across digital and print channels, including scheduling, placements, and asset delivery.
Solicits, processes, and submits advertising invoices, ensuring all costs are accurately tracked in the budget tracker.
Pulls and organizes statistical reports from vendors for advertising performance tracking; compiles data into marketing plans for review by Marketing Managers.
Compiles campaign performance data, email metrics, and vendor results into reporting dashboards.
Supports co-op advertising requirements in collaboration with sales.
20% Email Coordination:
Assists in the setup and scheduling of marketing email campaigns under the guidance of the marketing team.
Supports campaign execution by coding emails, uploading creative assets, and ensuring deliverability.
Helps curate thematic email outreach to ensure all disciplines are regularly engaged, working closely with the marketing team to identify relevant titles and content.
Provides input on subject lines, messaging, and title selection when requested.
20% Social Media and Content Marketing Support:
Assists with social media scheduling, content creating, and monitoring of messages/comments to ensure timely responses and flag items for the marketing team.
Supports the marketing team in drafting, formatting, and posting blog content to highlight new titles, thematic collections, author features, and other initiatives.
Assists in creating content for social media and blog channels under the guidance of Marketing Managers and Assistant Director of Marketing.
20% Marketing Team and Department Support:
Provides administrative support for team meetings and special projects, including note-taking and follow-up.
Assists Marketing Managers with updating marketing plans with information from promotion questionnaires and other sources (e.g., conference schedules, author goals, and project details).
Works with Marketing Managers to update marketing plans and databases with key conferences, author goals, and other details to inform marketing efforts.
Supports the creation of promotional plans for scholarly titles under the direction of Marketing Managers.
Completes other tasks as assigned for the team and department.
Required Qualifications
Minimum of one year of administrative experience working in a marketing and/or publishing environment
Proficiency with Microsoft Office Suite and Google Product Suite, with an interest and ability in learning new software and web-based programs
Basic comprehension of marketing principles and techniques
Enthusiasm for publishing, media, and being a part of a mission-driven workplace
Ability to manage multiple projects/deadlines with flexibility to adjust to shifting priorities
Strong organizational skills with exceptional attention to details and a proven ability to complete work within deadlines
Ability to learn and effectively use proprietary and vendor applications for tracking, reporting, and day‑day maintenance of marketing workflow
Motivated team player who enjoys working collaboratively within a small, fast‑paced team
Preferred Qualifications
Basic knowledge of the organization, including its vision, mission, goals, objectives, achievements, and infrastructure
Proficient with basic HTML formatting
Education
Bachelor's degree in related area and / or equivalent experience / training required.
Travel Requirements
No travel required.
Special Conditions The person hired will be required to live in California and report to work on‑site at UC's Office of the President in Oakland, CA at least two days per week (currently Wednesday and Thursday).
