Job Description We are seeking a highly organized, proactive, and tech‑savvy Executive Assistant to support C‑level executives in a fast‑paced digital marketing environment. The ideal candidate will be comfortable managing complex schedules, coordinating communications, and ensuring seamless day‑to‑day operations for senior leadership. This role requires excellent attention to detail, discretion, and the ability to thrive in a dynamic, creative setting.

Key Responsibilities

Administrative Support:

Manage daily calendars, coordinate meetings, and schedule calls across multiple time zones.

Email & Communication Management:

Prioritize, draft, and organize executive correspondence, ensuring timely responses and clear communication.

Phone & Meeting Coordination:

Answer and screen phone calls, route inquiries appropriately, and prepare executives for calls and meetings.

Project Coordination:

Assist with tracking deadlines, following up on key marketing initiatives, and maintaining organized records of deliverables.

Document Preparation:

Create presentations, reports, and meeting materials as needed.

Confidentiality:

Handle sensitive information with professionalism and discretion.

Digital Tools Management:

Utilize CRM systems, project management platforms (e.g. Trello) as needed to support team operations.

Qualifications

Experience:

3+ years as an Executive Assistant, preferably supporting C‑level executives in financial services marketing.

Skills

Exceptional written and verbal communication skills.

Strong organizational and time‑management abilities.

High proficiency with Microsoft Office, Slack, Zoom, Adobe.

Familiarity with digital marketing concepts and tools (social media platforms, CRMs, analytics dashboards).

Traits Detail‑oriented, proactive, resourceful, and adaptable in a fast‑changing environment.
