Client association: American Academy of Emergency Medicine (AAEM). Position reports to: WestJEM Administrative Manager, AAEM. Non-Exempt, part-time, maximum 19 hrs/week, no benefit eligible.
General Summary
Position is based at University of California, Irvine, Emergency Medicine department. Supports leadership of Western Journal of Emergency Medicine (WestJEM) and Clinical Practice and Cases in Emergency Medicine (CPC-EM). Through partnerships with AAEM, works with and reports to AAEM corporate offices. Provides managerial support to WestJEM and CPC-EM journals. Position maintains high responsibility, exercising discretion and sound independent judgment. Ideal candidate attention to detail, communication, problem solving, budget management, computer skills. Starts as blend of editorial and publishing responsibilities, gradually specialized with either editorial or publishing team.
Position Responsibilities
Maximum of 19 hours/week.
- Correspond with authors during the peer review process and ensure all final changes are approved before publication.
- Help with article layouts.
- Coordinate article review in the submission system by monitoring progressive steps and working with journal leadership. This includes ensuring timely turnaround with journal editors and reviewers and initiating the publication process after an accepted article’s payment is received. Position works with both the journal’s editorial and publishing teams.
- Coordinate the process of indexing the published articles and distributing publication information on the website and social media.
- Coordinate and attend team meetings.
- Manage journal records to make sure the editor and reviewer lists are kept current.
- Coordinate travel and meeting planning for offsite meetings as well as any post-meeting tasks.
- Coordinate contract approvals.
- Find new ways to energize the journal’s volunteers (reviewers & editors) as well as authors.
- Manage projects as assigned by journal leadership, Editorial/Publishing Managers with the WestJEM & CPC-EM journals, as well as the Senior Journal Administrative Manager.
- Provide weekly updates on progress.
Other Administrative Responsibilities
- Provide general administrative support, including but not limited to copying, faxing, database management (including eScholarship updates), maintaining computer and paper files, scheduling and participating in conference calls, coordinating mailings, and drafting letters.
- Other duties as assigned.
Amount of Travel Required
Some travel may be required. Some early morning/evening work may be required.
Education/Experience Required
Bachelor’s degree in related field; excellent organizational and communications skills; computer proficiency including Microsoft 365 products including Word & Excel as well as Google Drive products; high accuracy; strong attention to detail.
Physical Requirements
Occasional lifting of 50 pounds may be required.
