Join our team! The Program Administrator for Video-based Education coordinates and supports Video-based Education and Meet the Expert sessions for Clinical Congress.

Summary: The Administrator will provide administrative coordination and support for Video-based Education and Meet the Expert sessions for Clinical Congress, including committee management, faculty communication, budgeting, vendor coordination, and overall program planning. The role requires a high level of independence, organizational skill, and collaboration across divisions.

Location & Schedule: Chicago office, hybrid role: 3 days per week in the office / 2 days remote.

Salary: $67,000 – $75,000 (commensurate with experience).

Responsibilities

  • Administer the call for videos, including vendor coordination for submission site, monitoring submissions, answering author questions, and managing the review and notification process for 350+ videos.
  • Schedule and coordinate all Video-Based Education Sessions at Clinical Congress.
  • Manage administrative tasks for the Video-Based Committee, including communication and special webinars.
  • Schedule and organize committee meetings, prepare and distribute meeting materials, agendas, and minutes.
  • Coordinate the selection process for icons in surgery and support production of videos with selected icons.
  • Schedule and manage Meet the Expert sessions.
  • Provide cross-coverage support for the Clinical Congress team.
  • Retain, organize, and catalog video-based education and sessions.
  • Collaborate with division and other relevant divisions to facilitate distribution and utilization of educational materials.

Required Education and/or Experience

  • Bachelor’s degree or higher from an accredited college or university.
  • At least 3+ years of overall program or project management experience (associations, professional societies, healthcare, and/or education preferred).
  • Experience working with committees is a plus.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation and ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) required; video editing and management experience preferred.
