Academic Department Assistant – Communication & Languages
Raritan Valley Community College is seeking an Academic Department Assistant for the Communication & Languages department. The position reports directly to the Division Dean for Business, Communication & Public Service.

Essential Duties
Assists the Department Chairperson(s) with daily office responsibilities in a time‑sensitive manner.
Receives walk‑in visitors, students, and inquiries concerning classes and services offered at RVCC; responds knowledgeably and directs inquiries as appropriate; maintains an efficient, productive, and professional office environment.
Maintains proficiency in the College’s technology support systems and uses Banner, Argos, and Lion’s Den to assist the Chair(s) with schedule confirmation and cancellation procedures, contracts, and reports.
Assists with faculty attendance records and submits timesheets on a regular basis.
Creates, organizes, and maintains all filing systems in the academic department; develops and maintains efficient, professional office procedures; maintains confidentiality of student exams, records, and faculty files; collects, stores, and archives all end‑of‑semester materials from adjuncts.
Assists the Department Chairperson(s) in the development and maintenance of budgets, including supplies, purchase orders, requisitions, inventory, and repair records.
Orders books for all full‑time and adjunct faculty for all sections; coordinates with the Bookstore Book Manager during peak periods; processes faculty requests for desk copies of new text selections or new editions.
Completes work orders when needs arise in the faculty offices or classrooms.
Maintains full‑time and adjunct faculty lists; and for departments with Advisory Committees, maintains member lists.
Assists the Department Chairperson(s) with marketing and promotional materials and event planning for departmental special events: reserves rooms, orders technology, housekeeping, and catering as needed; coordinates honoraria payments as needed.
Assists the Chairperson(s) in the preparation and distribution of confidential peer observations to full‑time and adjunct faculty.
Coordinates the collection of CRNs that faculty will use for course evaluations using EKit.
Assists Department Chairperson(s) with student worker/office staff that provides reception or clerical services, when available.
Liaises with staff in Enrollment Services, assisting in monitoring and developing the schedule of courses for RVCC.
Monitors and makes recommendations to the Chair(s) for ongoing improvement of procedures and processes.
Performs other related duties as assigned.
Requirements
A.S. degree in applicable discipline or 3‑5 years of administrative/secretarial experience.
Proficiency with MS Office applications.
Excellent writing and administrative assistant skills; ability to organize the office.
Professional telephone skills, time management, and the ability to handle multiple projects are imperative.
Must be able to handle sensitive and confidential information.
Strong interpersonal skills, ability to work independently, excellent oral and written communication skills, and a positive attitude are required.
Experience in a fast‑paced environment is desirable.
Working knowledge of Banner is preferred.
