Accounts Receivable Clerk, The Publisher Hotel, Fredericksburg, VA
Full Time Accounting Location: Fredericksburg, VA, US
Salary Range: $17.00 to $20.00 per hour
Job Purpose
This position is to manage the billing of payments for group and company accounts and ensure timely payment of such accounts.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
- Identify groups and events to be billed collectively and work with the sales department to ensure a valid method of payment is obtained.
- Process applications for direct bill privileges, including checking references, and making a recommendation to the controller.
- Prepare and audit all group bills for accuracy, post adjustments as necessary, and close out completed group and event bills.
- Invoice approved direct bill clients and ensure timely payment.
- Maintain active and paid accounts receivable files to support all direct bill invoices.
- Respond to disputes issued by the major credit card companies.
- Respond to billing-related questions and requests from the sales department.
- Assist individual guests with billing-related questions and requests as necessary.
- Maintain log and sufficient backup for tax‑exempt accounts and guests.
- Respond to all discrepancies on all invoices monthly to ensure the accounts are in balance.
- Respond to all other inquiries and provide support to other departments to ensure compliance with policies and procedures established by the hotel.
- Perform all other duties as assigned by management.

Required Skills / Abilities
- Ability to key punch data into a computer keyboard or calculator in an accurate and timely manner.
- Ability to remain calm under stress in a fast‑paced work area with considerable noise and frequent interruptions.
- Must be able to operate office machines with a high degree of speed and accuracy.
- Basic mathematic skills, including arithmetic and basic algebra.
- Ability to obtain any government‑required licenses or certificates.
Desired Software Proficiencies
- Ability to use computer software including Microsoft Word, Excel, Outlook, Internet Explorer, and the property management system and accounting software utilized by the hotel.

Education / Experience
- High school degree or equivalent.
- Proof of authorization/eligibility to work in the United States.
- College degree preferred, ideally in accounting, finance, or other related areas (not required).
- Accounting experience preferable but not required.
- Prior hotel experience preferable but not required.
Physical Requirements
- Long periods of sitting required.
- Repetitive motion of hands, wrists, and fingers required to a large degree (potentially up to 75% of work day).
- Occasional standing, walking, sitting, use of hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; talk or hear; and occasionally lift or move office products and supplies up to 20 pounds.
- Must maintain a neat, clean, and well‑groomed appearance (specific standards available).
