Job Mission: The Marketing and Communications Coordinator plans and executes marketing activities that support revenue growth, with a focus on tradeshows, events coordination, campaigns, digital content, social media, CRM, and pipeline management. This role manages data from social platforms, lead platforms, and the CRM to turn marketing touchpoints into real opportunities. The role requires expertise in both AI tools and HubSpot, utilizing them to enhance content quality and efficiency, targeting, and reporting. This person also supports internal and external communications for the company and its executives, and travels periodically to trade shows, customers, industry events, and key meetings.
Responsibilities:
Tradeshows & Events Coordination
Plan logistics and timelines for major tradeshows and key industry events. Develop and maintain annual and event-specific marketing budgets, track spend vs. plan, and flag variances with recommended adjustments. Coordinate booth design, equipment, demos, collateral, and pre- and post-show outreach. Plan and coordinate additional company events. Coordinate vendors, venues, registrations, and on-site details to ensure smooth event execution. Travel as needed to support on-site execution at tradeshows and events. Campaigns, Content, and Lead Generation
Plan and execute email, web, and social campaigns aligned with sales priorities. Create and schedule digital content and social media posts for LinkedIn and other relevant platforms. Develop and update product one-pagers, case studies, presentations, web pages, and executive decks. Utilize AI tools to support content drafting and personalization testing while preserving Rome's distinctive voice. Work with Sales Ops and the Customer Service Team to ensure leads from all sources are captured, routed, and followed up on. CRM, Lead Platforms, and Pipeline Management
Own day-to-day CRM hygiene in HubSpot, including contact, company, and opportunity records. Manage lead platforms and imports into HubSpot with correct tagging and segmentation. Build and maintain HubSpot views, lists, workflows, and basic dashboards for marketing and sales. Monitor lead and opportunity flow, flag stalled deals, and support next-step tasks and reminders. Social, Data, and Reporting
Track and report performance from social channels, website, email, CRM, and lead platforms. Use AI and HubSpot tools to analyze engagement, identify trends, and suggest subsequent campaigns. Internal, External, and Executive Communications
Draft and coordinate internal announcements, newsletters, and event communications. Support executives with speeches, talking points, presentations, and external communications. Brand Stewardship
Maintain consistent voice and visuals for all external materials and sponsorships. Manage photo, video, and success story library for use by sales and applications. Key Competencies:
Communication Skills: Excellent verbal and written communication skills, including the ability to explain and the ability to translate technical features into customer and executive-ready messages. Organization: Project manager able to juggle timelines for shows, events, and campaigns. Detailed focused: High accuracy to attention to detail, cost aware, and willing to roll up sleeves on execution. Process-minded with a continuous improvement mindset. Adaptability: Flexible and able to adapt to change within a fast-moving environment. Collaboration: Ability to work effectively within your team and cross-functional teams. Software: Comfortable with CRM, social analytics, Excel, and similar tools, being proactive in learning new AI and HubSpot capabilities. Key Outcomes:
On-time, well-executed tradeshow and event program (internal and external) with clear follow-up plans. Consistent, on-brand digital and print content across all channels and audiences. Regular, data-driven campaigns and social posts that generate qualified leads. Accurate, up-to-date CRM and lead platforms with campaigns, tradeshow interactions, events, and opportunities tracked. Insightful reports using data from social, CRM, and lead platforms to guide sales and leadership. Timely, clear internal and external communications for company-wide, event-related, and executive messaging. Growing use of AI and HubSpot features to automate, personalize, and optimize marketing and communication. Required Experience:
3-6 years of experience in B2B marketing or communications, ideally in industrial or manufacturing. Experience supporting a sales team that sells capital equipment or engineered systems. Experience coordinating tradeshows, customer events, or corporate events preferred. Hands-on experience with HubSpot or similar CRM, including lists, workflows, and reporting. Experience creating digital content and social media posts for B2B audiences. Strong writing skills and basic design skills (PowerPoint, Canva, or similar). Interest in and willingness to become an expert user of AI tools and HubSpot. Willingness and ability to travel for tradeshows, events, and key internal/external meetings. Benefits:
