Description

Documentation Specialist: A professional responsible for creating, organizing, and managing essential documents across an organization. They ensure that all content is accurate, up-to-date, and accessible for staff and customers.

Key Responsibilities & Duties

  • Create and edit documentation, including user manuals, technical guides, policy documents, training materials, and reports.
  • Collaborate with Subject Matter Experts (SMEs) and cross‑functional teams to gather information and ensure documentation is accurate and up‑to‑date.
  • Manage the document lifecycle by organizing, maintaining, and version‑controlling a structured document management system.
  • Ensure compliance and quality by reviewing and proofreading all materials for clarity, grammar, and accuracy.
  • Improve accessibility by organizing information logically and developing document templates and standards to increase efficiency and consistency.
  • Assist with training by supporting the development of training resources and potentially training staff on documentation processes and tools.

Qualifications & Skills

  • Bachelor’s degree in Technical Writing, English, Communications, or related field (or equivalent experience).
  • 2+ years of experience in document creation, editing, and management, preferably within a relevant industry.
  • Excellent written and verbal communication skills, translating complex information into simple, understandable language.
  • Strong attention to detail and accuracy.
  • Proficient with document creation software (Microsoft Office Suite, Adobe Acrobat) and experience with document management systems (DMS) and content management systems (CMS).
  • Strong organizational, time‑management, and project management skills, with the ability to manage multiple projects and meet tight deadlines.
  • Ability to work independently and collaboratively, handling confidential information discreetly.
