Creative Circle
Our museum client in Washington, DC, is looking for an experienced Event Planner to join their team on a 12-month contract. This position is 40 hours a week and will require you to be on-site at the museum for events throughout the month.
The ideal candidate will have experience managing in-person and virtual events, including conferences, exhibitions, VIP visits, etc.
Duties of the Event Planner
Plan and execute in-person and virtual events (e.g., ceremonies, conferences, VIP visits, exhibition openings)
Manage logistics: venues, contracts, staffing, equipment, decor, transportation
Coordinate with internal departments and external partners
Ensure branding alignment and approval for all event elements
Develop event documentation: folios, staffing plans, reports
Conduct site visits and troubleshoot during events
Maintain vendor relationships and event records
Represent Special Events in interoffice meetings and working groups
Manage space booking software
Review and approve space requests; troubleshoot scheduling issues
Maintain documentation and track assignments
Facilitate governance and operations meetings
Assist in leading biannual working group discussions
Manage system enhancements and stakeholder follow-through
Requirements of the Event Planner
A minimum of 5 years of event management experience
Bachelor's degree
CMP certification is highly preferred
Proficiency in platforms like Zoom and Streamyard
Experience managing significant in-person and virtual events
Citizenship is required
In this position, you may have access to client or customer systems, confidential and/or proprietary information or data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment.
