Admissions/Marketing Coordinator

Pine Acres Care Center is actively seeking an Admissions/Marketing Coordinator to join our team! This role plays a key part in supporting our admissions process, building strong relationships with residents and families, and representing our facility within the community. Primary Responsibilities (Internal): Manage referrals and inquiries, responding promptly and professionally to calls from hospitals, families, physicians, and other referral sources seeking placement. Conduct facility tours for prospective residents and families. Maintain a waiting list in compliance with state and federal guidelines. Facilitate the admission process by coordinating with nursing, social work, dietary, therapy, and the business office to ensure smooth transitions. Work closely with the Marketing Director, Director of Nursing, and Business Office Manager to make appropriate and efficient decisions regarding prospective admissions. Communicate room and bed assignments to nursing and housekeeping teams after admissions decisions. Notify staff of any special needs of new residents to support smooth transitions. Prepare and process all admission paperwork, ensuring contracts are signed in a timely manner. Manage bed availability and occupancy, maintaining accurate records of admissions, discharges, and census data. Lead daily stand-up meetings to inform department supervisors and staff about projected changes, updating as needed throughout the day. Effectively manage occupancy levels and work to enhance census and premium mix, understanding the facility's census, quality mix, and bed management needs. New Admissions Relations Coordinator: Serve as the primary point of contact for new residents and their families at admission and throughout their stay. Conduct daily rounds to address questions, concerns, and complaints quickly, communicating key updates during stand-up meetings. Lead service recovery efforts by resolving complaints or service failures and following up to ensure satisfaction. Primary Responsibilities (External): Build and maintain strong relationships with hospitals, physicians, discharge planners, social workers, home health agencies, and other referral sources. Conduct regular outreach, including in-person visits, calls, and presentations, to promote facility services. Organize and participate in community events, health fairs, and networking opportunities to increase facility visibility. Monitor market trends, competitors, and referral patterns, adjusting marketing strategies as needed. Collaborate with the leadership team to develop and implement marketing and census-building strategies. Other Responsibilities: Maintain a strong working knowledge of Federal and State regulations, as well as reimbursement processes (Managed Care, Medicare, Medicaid). Assist with new employee orientation regarding the admissions process. Stay updated on managed care referral processes. Participate in special projects and additional duties as assigned. Identify and engage in process improvement initiatives that enhance the customer experience, improve workflow, and strengthen the work environment. Skills and Qualities Needed: Strong sales and relationship-building abilities Excellent organizational, communication, and presentation skills Attention to detail Knowledge of healthcare insurance (Medicare, Medicaid, private pay) Ability to manage relationships with hospitals, referral sources, and families Strong problem-solving abilities and emotional intelligence Patience and empathy, particularly when working with stressed or grieving families Understanding of facility operations and cross-department collaboration Ability to balance resident/family needs with staff capabilities and regulatory requirements
