Senior Underwriting & Promotions Coordinator
Overview
Reporting to the Executive Director of Live Events & Underwriting, the Underwriting & Promotions Senior Coordinator plays a key role in planning and delivering underwriting, sponsorship, and live event initiatives across the Ministry’s portfolio. The position ensures systems, timelines, and deliverables are clearly defined and met with precision, driving operational excellence by coordinating project workflows, monitoring KPIs, and keeping campaigns and events on schedule, within scope, and on budget.
Responsibilities
Demonstrate the team’s vision in day‑to‑day activities and Ministry initiatives.
Direct administrative and operational activities for underwriting and promotional initiatives tied to live events, ensuring smooth execution across teams.
Anticipate operational needs, identify potential issues early, and recommend process improvements.
Create and maintain project plans and timelines; monitor progress and adjust as needed.
Manage ticketing for donated seats, coordinating with ministry leaders, vendors, and on‑site teams.
Approve underwriting team travel within established guidelines and book logistics.
Research potential underwriting partners, prepare summaries, and share recommendations with leadership.
Share accurate information across underwriting, live events, marketing, finance, and legal teams to keep projects aligned.
Coordinate the execution of underwriting agreements, tracking deliverables and confirming contractual fulfillment.
Maintain detailed records of underwriting campaigns, including contracts, invoices, payments, and activation reports.
Assist with forecasting, budget tracking, and reconciliation to support financial accuracy.
Monitor and report on key performance indicators (KPIs) to measure effectiveness and growth of underwriting initiatives.
Prepare internal status reports, leadership updates, and post‑event summaries to inform strategic decisions.
Support event budget process by tracking expenses, preparing summaries, and assisting with documentation and reconciliation.
Perform other duties as assigned.
Qualifications
Bachelor’s degree or equivalent experience.
2‑4 years of experience as a Project Manager on mid‑size projects with business sponsors, timelines, and dependencies.
Experience successfully planning, organizing, and managing projects.
Radio traffic system knowledge (Aquira, Wide Orbit, or other) preferred.
Proficiency with MS Project and MS Office products (Word, Excel, PowerPoint, Access, Visio, Outlook).
Strong written and verbal communication skills and the ability to communicate with various stakeholders.
Strong organizational skills with the ability to work independently and as part of a team.
Excellent interpersonal skills with the ability to develop sincere business relationships.
Typical project management life cycle methodology knowledge (e.g., PMI PMBOK).
