Wholesale Marketing Coordinator Brands:
Borealis Cannabis & Asteroid

Role Overview The Wholesale Marketing Coordinator plays a critical role in bringing the Borealis and Asteroid brands to life at the retail level across multiple states. This position sits at the intersection of content creation, trade marketing, brand ambassador management, and retail partner support.
This individual will be responsible for capturing authentic, on-the-ground content; supporting wholesale promotions and pop-ups; maintaining brand consistency on dispensary menus; and ensuring retail partners are equipped with timely, accurate, and compliant marketing materials. While based in Connecticut, this role will support both Connecticut and Missouri markets and requires strong organizational skills, comfort working cross-functionally, and a clear understanding of cannabis compliance constraints.
This role has clear executional ownership from day one and is supported by a structured 90-day success plan and ongoing quarterly planning aligned with company-wide 2026 objectives.
Key Responsibilities Brand Ambassador Management
Coordinate brand ambassador activity across Connecticut and Missouri.
Manage logistics for in-store pop-ups, vendor days, and community activations.
Serve as the primary point of contact for brand ambassadors, providing clear expectations and real-time support.
Ensure ambassadors are equipped with approved materials, talking points, and promotional details.
Coordinate distribution, readiness, and condition of branded and non-branded materials and swag, tracking basic inventory levels and flagging reorders as needed.
Promotion & Wholesale Deal Management
Support the planning, execution, and tracking of wholesale promotions through direct communication with dispensary buyers, managers, and marketing teams.
Partner closely with wholesale sales leadership to align promotions and activations with retail priorities and inventory realities.
Assist in gathering and facilitating backend documentation such as credit reports, split promotion details, performance feedback, and recaps.
Maintain organized records of active and completed promotions by market.
Collect post-promotion feedback and qualitative insights from retail partners and ambassadors to inform future activations.
Menu Management & Brand Consistency
Conduct regular audits of retail menus (Dutchie, Jane, I Heart Jane, etc.) to ensure accurate and consistent brand representation.
Flag inaccuracies, outdated listings, or misaligned positioning and coordinate corrections with retail partners and internal teams.
Ensure menu accuracy supports sales enablement, promotions, and brand standards.
Content Creation & Field Marketing
Capture high-quality photo and video content at cultivation sites, manufacturing facilities, retail locations, pop-ups, and community events.
Produce organic, social-ready content that reflects each brand's positioning and tone.
Work closely with the central marketing team to supply raw content for social media, email, trade assets, and sales enablement.
Maintain an organized, reusable content library with proper labeling, usage notes, market attribution, and approved usage rights.
Ensure appropriate consent and content usage permissions are obtained and documented.
Light Design & Asset Customization
Update existing marketing assets using Canva or similar design platforms to include strain names, retail partner logos, dates, and market-specific details.
Ensure all adapted assets remain on-brand, legible, and compliant with state-specific cannabis regulations.
Coordinate with the marketing department for approvals and final asset distribution.
Performance Tracking & Reporting
Track and report key field marketing metrics, including:
Pop-ups and vendor days executed per month
Promotion performance and sell-through insights (where available)
Brand ambassador hours and activation output
Content captured per activation
Maintain a simple monthly performance recap shared with the Director of Wholesale and Marketing, highlighting wins, challenges, and actionable insights.
Inventory, POS & Sales Alignment
Coordinate with sales and operations to confirm inventory availability and POS readiness ahead of activations.
Track deployment and condition of POS materials at retail locations.
Support sales enablement through updated assets, retail talking points, and on-menu accuracy.
Participate in select sales touchpoints to remain aligned on market needs and wholesale priorities.
Compliance Accountability (Multi-State)
Ensure all field marketing activity, content capture, and adapted assets remain compliant with state-specific cannabis regulations in Connecticut and Missouri.
Proactively flag potential compliance risks and coordinate adjustments with internal stakeholders.
Project Management & Ownership
Manage timelines, deliverables, and recaps for promotions, activations, menu updates, and asset customization.
Flag risks, delays, or dependencies early and coordinate solutions cross-functionally.
Required Qualifications
2 - 4 years of experience in marketing coordination, field marketing, trade marketing, or a related role
Strong familiarity with social media content standards and visual storytelling
Working knowledge of Canva or similar design tools
Exceptional organizational skills with the ability to manage multiple markets, timelines, and stakeholders
Comfort communicating with retail partners and external contractors
Ability to work independently while collaborating with remote teams
Willingness to travel periodically between Connecticut and Missouri
Must be 21+ and eligible to work in the cannabis industry
Preferred Qualifications
Prior experience in cannabis, CPG, beverage, or regulated industries
Understanding of dispensary operations and wholesale dynamics
Experience working with brand ambassadors or street teams
Familiarity with cannabis compliance considerations across different states
Photography or videography experience beyond mobile capture (not required, but a plus)
