Sales Operations & Fulfillment Coordinator
Resident Culture Brewing Co. is a Charlotte-based craft brewery with distribution across NC, SC, and VA. Cümulo is our fast-growing hemp-derived THC sparkling water brand expanding in Virginia and emerging markets. As both brands scale, we're building a best-in-class commercial operations function to support our wholesale business.
The Role The Sales Operations & Fulfillment Coordinator is the operational backbone of our wholesale business—ensuring distributor orders are processed accurately, inventory stays aligned with demand, shipments go out on time, and our sales team has the data they need to execute in the market. You'll be the connective tissue between Sales, Production, Warehouse, and Accounting, working across teams to keep beer and Cümulo moving smoothly.
Key Responsibilities
Receive, review, and confirm distributor purchase orders; enter and manage orders in Ekos ensuring accuracy across SKUs, quantities, and delivery timelines
Communicate order confirmations, adjustments, and ship dates to distributor partners
Coordinate outbound shipments with warehouse teams and carriers; schedule freight, manage BOLs, ASNs, and invoices
Track shipments through delivery and resolve discrepancies or delays; provide invoice and credit support
Inventory Management & Production Coordination
Monitor finished goods inventory levels across distributor warehouses; flag potential stockouts, overages, or aging inventory risks
Support demand planning by aligning distributor forecasts with inventory availability (supports but does not own forecasting)
Maintain accurate real-time inventory data in Ekos; communicate production and packaging priorities based on distributor orders
Pull depletion reports, POD data, and velocity analysis from VIP and Karma; create sales dashboards and performance summaries
Provide sales team with territory-specific insights, custom reports, and execution tools
Maintain CRM data in Karma for distributor contacts, key accounts, and sales activity
Assist with new SKU setup, pricing updates, and seasonal program execution
Cross-Functional Collaboration & Process Improvement
Act as operational liaison between Sales, Production, Warehouse, Marketing, and Accounting
Coordinate with marketing and branding teams on new market launches, POS materials, and product timelines
Document and improve sales operations workflows; identify inefficiencies and propose solutions
Support Ekos optimization and maintain organized records/SOPs for order processing
What We're Looking For Experience & Skills:
2–4 years in beverage alcohol, CPG, or logistics/supply chain operations
Experience with Ekos or similar brewery ERP/inventory management software strongly preferred
Familiarity with VIP, Karma, or similar distributor systems preferred
Understanding of distributor ordering workflows, wholesale fulfillment, and three-tier distribution
Strong organizational skills with exceptional attention to detail and accuracy
Proficiency in Excel/Google Sheets; experience with ERP/CRM systems
Excellent written and verbal communication; ability to manage multiple deadlines in fast-paced environment
