Position Summary

The Event Manager (EM) provides end-to-end service support for programs, covering pre-planning, event execution, and post-event follow-up. This on-site role is the primary point of contact for planners, guests, faculty, and colleagues, ensuring programs are mission-aligned and executed beyond expectations. The EM manages details through timely communication, accurate system records, and collaboration across departments.

Responsibilities include budgeting, space planning, event diagrams, activity coordination, contract verification, scheduling, and preparation of program briefs. The EM develops systems to support seamless delivery of conferences, retreats, private events, team-building activities, philanthropic programs, and interdepartmental meetings.

The role requires strong multitasking, relationship-building, and problem-solving skills, along with the ability to set client expectations, manage logistics, and ensure accurate billing and reporting.

Accountabilities

  • Research new offerings and provide cost estimates
  • Finalize schedules, attendance, timing, and flow for each program
  • Troubleshoot space and scheduling conflicts
  • Accurately record client communication in Delphi FDC
  • Prepare proposals, estimates, addendums, and event orders
  • Coordinate food, beverage, AV, lodging, and space needs
  • Inspect event spaces before start times to ensure accuracy and quality
  • Lead and distribute weekly Program Briefs and event documents
  • Track and organize client requests, approvals, and vendor confirmations
  • Gather client feedback and communicate opportunities for improvement
  • Support billing accuracy and resolve issues promptly
  • Develop vendor relationships aligned with organizational strategy
  • Participate in weekly staff meetings and cross-department planning sessions
  • Maintain confidentiality of all campus and client information
  • Assist with hiring, training, and staff development as needed
  • Work holidays, evenings, and weekends as required

Essential Skills and Experience

  • Event/banquet management in hospitality (CMP preferred)Strong written and verbal communication skills
  • Experience working with diverse populations
  • Professional, service-oriented presentation and problem-solving skills
  • High attention to detail and ability to multitask in a fast-paced environment
  • Proficiency with Microsoft Teams, Outlook, PowerPoint, Word, and Excel
  • Ability to work independently and collaboratively
  • College degree or equivalent supervisory/administrative experience
  • Commitment to 1440's mission, vision, and values

This role requires working with a team in an office/campus environment and is not a remote role.
