Responsibilities
Under general supervision and in accordance with established policies and procedures, analyze and maintain electronic medical chart filing system with accuracy, consistency, and completeness.
Review and process requests for subpoenas received from outside attorneys, agencies, providers, and schools in compliance with applicable state laws.
Perform a variety of clerical duties related to processing of electronic medical records and requests.
Assist in the preparation of charts for patient visits, audits, and to file their patients’ reports.
Essential Functions
Uphold Clinica Sierra Vista’s Policies and Procedures, HIPAA, Compliance, Principles of responsibilities, and applicable state, federal, and local laws.
Generate barcodes in EPIC EMR system module to identify patient data and demographic for electronic filing and analyze electronic charts for accuracy, consistency and completeness.
Use OnBase scanning module to scan batches of various medical records documents and upload them via batch to OnBase Indexing.
Use OnBase Production module for processing with incorporated data fields, committing and batching various types of patient medical record documents and reports through EPIC EMR for end‑user accessibility.
Maintain EPIC ROI electronic Module for Release of Information requests, verifying demographics and completing module data with hard stops.
Determine Medical Records Billing flow (Do Not Bill, Pre‑Pay, Post‑Pay) and enter billing and release address information within the ROI module.
Identify the release type and purpose of the request within the ROI module, scanning authorization documents and noting descriptions and expiration.
Filter and identify request date range and type of information requested, producing queries within the ROI module. Track comments, dates, priority, and assignments.
Generate outputs of EMR reports to fulfill requests based on the requestor’s instructions and complete status tracking through EPIC ROI module.
Maintain assigned ROI releases for tracking purposes, ensuring HIPAA-compliant completion.
Generate and electronically save Medical Records Invoices through EPIC Letters Modules, ensuring correct patient information extraction from the electronic medical record file.
Qualifications
High school diploma required.
EMR experience, EPIC experience preferable.
Typing at least 35 WPM and proficient computer skills, including Microsoft products and Outlook.
Effective verbal and written communication skills, ability to work independently, detail oriented, and well organized.
Customer service skills: communication, empathy, patience, and technical knowledge.
Team‑oriented work style, able to meet deadlines.
Previous experience in a community clinic setting.
Bi‑lingual in English and Spanish.
Ability to handle multiple tasks in a busy environment.
Availability to work evenings and weekends.
Ability to work at multiple clinic sites.
Valid California driver’s license and proof of insurance.
Must adhere to Clinica Sierra Vista’s employee health/immunization requirements or provide a valid exemption request for approval.
