Purpose Export Coordinators play a key role in the success of Ravago International’s operational strategy of achieving a competitive advantage in the market based on service differentiation. This position is responsible for the sales orders and their associated shipments from beginning to end by planning and executing export activities as well as monitoring the activities performed by the ancillary teams to ensure Export shipments are successful and meet their deadlines. Export Coordinators specialize in US Export requirements such as Incoterms, Trade Agreements, Documentation and Certifications required by multiple destination countries and need a high comprehension of the logistics processes and supply chain. This role will also be responsible for analyzing and strategically coordinating each shipment to optimize cost while working with internal and external customers providing the agility, flexibility and necessary expertise to minimize transportation, warehousing and other costs affecting the shipment.
Areas of Responsibility / Tasks Essential Functions
Processes customers’ purchase orders, oversees regional offices’ sales orders and all related requests such as: obtaining price and credit approvals and securing product allocation.
Reviews order details and ensures compliance with US Customs and Border Protection regulations and company policies, including road weight restrictions, required documentation, Trade Agreements, Power of Attorneys, HS code validation, product descriptions, routed transaction information, and FOB value validation.
Ensures all transactions meet profit requirements and shipment deadlines, auditing orders for accuracy before release.
Communicates order status to external customers and overseas regional offices regarding vessel delays, roll overs, split shipments, backorder information, and documentation status confirmations.
Ensures Intercompany Transactions meet the required “markup policy” by following Accounting Team guidelines, including manual calculations and submitting a “Price Adjustment” form to the CFO for approval.
Monitors and maintains all customer-specific information and requirements within the operating system.
Coordinates country-required pre‑shipment inspections with Customs agencies and completes necessary forms.
Communicates with Freight Forwarders to coordinate air shipments with carriers, providing all necessary manual documentation for import at the destination.
Monitors order progression across multiple departments using company systems and reports.
Invoicing sales orders and providing comprehensive documentation and certification packages to regional sales offices for distribution to final customers before cargo arrival, enabling nationalization at foreign destinations and preventing delays and extra costs. Package includes Commercial Invoice, Packing List, Certificate of Analysis, Bill of Lading, Certificate of Origin, and Free Trade Agreement documents as applicable.
Closely monitors shipments to high‑risk countries, ensuring compliance with customs regulations to avoid fines and sanctions.
Monitors and enforces existing orders per the terms of agreements between Ravago International Companies and their customers.
Assists with proactive duties to execute rush orders, stimulate soft sales, achieve committed sales volume targets, and maintain/improve customer satisfaction.
Submits accurate and complete paperwork to other departments by appropriate deadlines, actively working with freight forwarders on scheduling and tracking order status.
Actively problem‑solves by seeking better alternatives for assigned tasks, making rational assessments and reaching logical conclusions from available information.
Additional Responsibilities
Contributes to group success by assisting with coverage during absences.
Stays up to date on developments related to the company, profession, resources, and technology.
All other duties as assigned.

Understanding of International Commercial Terms (INCOTERMS) and commodity classifications in Schedule B.
Understanding of Electronic Export Information.
Familiarity with international documentation (Commercial Invoice, Letters of Credit, Packing List, Certificate of Origin).

Minimum Qualifications / Education / Experience / Certifications Education
Bachelor’s degree or equivalent work experience required.
Equivalent experience considered in lieu of degree.
Experience
Freight forwarder experience preferred.
Experience working effectively with transport service providers.
Experience in trading, resale, distribution and supply chain preferred.
Proficiency in Microsoft Office (Outlook, Word, Excel) and ability to quickly learn additional applications.
Licenses / Certifications
Valid driver’s license – required.
Language
Proficiency in English required.
Bi‑Lingual – Spanish or Portuguese is a plus.
Work Environment / Conditions
Must be adaptable to work in a shared space, with constant noise, with or without the use of a private office.
This position is a hybrid in‑office / work‑from‑home role.
Physical Requirements / Demands
Regular verbal communication, reading, comprehension, and daily keyboard use required.
Push, pull, and lift up to 40 lbs.
Regular travel by foot, car, bus, airplane, or other means requiring sitting, waiting, and standing for long and short periods.
