Position Summary
The
Purchasing Specialist
is responsible for procuring materials, products, and services required to deliver custom cabinetry and millwork projects on time, within budget, and in accordance with quality standards. This role serves as the primary point of contact for suppliers, coordinates purchase orders, manages vendor relationships, and supports inventory planning to ensure seamless production flow.
The Purchasing Specialist collaborates closely with Sales, Design, Estimating, Engineering, Production, Installation, and Project Management teams to align purchasing decisions with project schedules, cost targets, and operational requirements.
Essential Duties
Prepare, issue, and track purchase orders for cabinetry materials, hardware, finishes, components, subcontract services, and related items.
Source and evaluate vendors based on quality, cost, reliability, lead times, and service standards.
Communicate with suppliers to confirm pricing, delivery schedules, availability, and order changes.
Coordinate with Sales, Design, Engineering, Estimating and Production to validate scopes, budgets, and material specifications.
Monitor open purchase orders and follow up on late deliveries to minimize production disruptions.
Maintain accurate purchasing records, vendor files, contracts, and price lists.
Identify opportunities for cost savings, volume discounts, and supply chain efficiency improvements.
Ensure compliance with purchasing policies, vendor terms, and quality expectations.
Assist with inventory tracking and basic replenishment planning.
Support resolution of discrepancies, returns, backorders, and quality issues with vendors.
Prepare purchasing reports and metrics as requested by management.
Works closely with vendors to drive continuous improvement in part quality, delivery performance and service levels.
Qualifications
Strong organizational, analytical, and communication skills.
Detail-oriented with ability to manage multiple priorities under deadlines.
Ability to work collaboratively with internal teams and external partners.
Ability to negotiate and secure favorable terms while maintaining positive supplier relationships.
Strong problem solving and follow-through skills are required.
High levels of accuracy and attention to detail are required to ensure compliance with company policies, procedures and external regulations.
Technical Skills
Proficiency in Microsoft Office (Excel, Outlook, Word).
Experience with ERP/Procurement systems preferred.
Basic understanding of cabinetry and millwork materials, hardware, and supply chain fundamentals.
Education and Experience
Required: Associate’s or Bachelor’s degree OR equivalent experience in purchasing, supply chain, operations, or related field.
Required: 2–5 years of purchasing or procurement experience preferably construction, manufacturing, woodworking, millwork, or related industries.
Experience with vendor negotiation and contract terms beneficial.
