Job Summary The Executive Recruiter will work closely with Director Executive Talent Acquisition on the development of sourcing strategies to identify and attract a diverse and adequate pool of top level talent for executive and senior level leadership positions.

The Executive Recruiter is responsible for the full lifecycle of recruiting required to fill leadership vacancy. This individual will work closely with organizational leaders to understand the leadership needs, expectations of desired the candidate to fill the vacancy, screen candidates, work with external search firms on identifying talent and coordinating all processes involved in the review, interview and selection of applicants.

The executive recruiter will qualify candidates through established recruitment processes that include phone screening, technical and behavioral interviewing techniques, and the use of other assessment tools. The Executive Recruiter will adhere to the slating process of candidate selection and ensure that partnering firms also adhere to this process. This individual actively participate in the Position Review Committee (PRC) process for leadership/executive at the specific locations.

The Executive Recruiter will have oversight for the coordination of all phone and on-site interviews which will include travel arrangements, agenda development and coordination of interviews/visits. The Executive Recruiter will partner with hiring managers to build relationship and establish a thorough understanding of staffing needs.

Core Responsibilities And Essential Functions General Executive Recruitment / Consulting Responsibilities

Consult with leaders/hiring managers to understand requirements of the leader needed to fill vacancy. Able to represent Wellstar to candidates interested in employment to determine if qualifications and qualities would be a job fit.

With Leadership input, determines search methodology (use of retained or contingency firm, general posting to ATS or other).

Maintains accurate applicant tracking system records by assuring jobs are posted and approved by appropriate chain of command. Assures applicants are screened and sourced appropriately. Assures data regarding hires is updated and maintained in ATS system for metric evaluation and reporting.

Oversight and Coordination of all on-site interviews. This includes development of interview agenda and coordination of travel arrangements.

Oversight for pre-employment assessments prior to hire which includes review of background checks, drug screen results and employee health clearance.

Assures appropriate license and certifications are in employee file prior to employment. Assures Job descriptions requirements are met and documented in file. Assures Job Description is signed and in employee file.

Creates and administers all offer letters with details of terms of offer in accordance with hiring guidelines and compensation policies.

Processes all expenditures involved with the interview and/or hire process. (Hotel stay, rental car, moving expense, temporary housing, etc.)

Communicates with hiring manager by frequent on site rounding, phone contact and email regarding status of applicants and positions to be filled. Assures timely communications regarding any barriers to hire.

Communicates with external and internal candidates regarding status of application in a timely manner.

Utilizes behavioral interviewing techniques and tools and educates managers on these techniques.

External Vendor Interaction

Communicates with approved vendor as appropriate regarding the sourcing and status of submitted candidates. Assures only qualified candidates are submitted to leaders for consideration. Maintains spreadsheets and data as appropriate to assure understanding of new hires such as new.

Communicates frequently and timely to leaders available candidates and assist with the coordination of interviews.

Directs employment specialist on needs related to vendors, billing and maintained of contracts.

Informs Executive Director of Recruitment of any issues with external vendors.

Communications with Leadership and Internal /External Candidates

Sets up initial intake meetings with leaders to understand job specifications and needed candidate to fill vacancy.

Communicates overview of leadership needs to Manager, Executive Talent Acquisition for advice on appropriate recruiting methods. Decision to be made regarding use of retained search firm vs. contingency search firm vs. general posting search.

Updates Manager, Executive Talent Acquisition on a weekly basis of status of open position that includes viable candidates being considered and stage of interview process. Maintains spreadsheet of current status for easy reference.

Utilizes assessment tools such as Caliper, professional reference tools such as Skills Survey and evaluation tools such as survey monkey to augment the interview and selection process. Communicates results of these tools to the appropriate party/parties.

Communicates timely with internal and external candidates regarding where they are in the selection and interview process.

Keeps ATS updates and accurate in regards to communications.

Stays apprised of all internal policies, initiatives and communications so that information is communicated accurately.

Maintains a presence at all sites to assure that leaders feel support and service.

Conducts Ongoing and frequent communications with leaders in regards to vacancy and status of candidates through frequent phone, email and on site direct communications.

Regulatory Compliance

Assures job postings are maintained using EEOC standards.

Assures job postings accurately reflect job requirements.

Screen candidates based on job requirements and EEOC guidelines.

Assures required education, license, certification are provided and documented in employee file prior to hire.

Assures employee files contain required pre-employment and employment documentation.

Assist hiring managers with interpretation and implementation of HR policies related to staffing.

Miscellaneous Duties

Works with Compensation and Benefits on issues related to staffing with new hires or transfers.

Completes TAD transfer paperwork that includes new salary, dept, start date and title for internal candidates.

Performs other duties as assigned. Complies with all WellStar Health System policies, standards of work, and code of conduct.

Required Minimum Education

Bachelor's Degree in Human Resources, Communications, Marketing or other related discipline from a college/university accredited by the US Department of Education required.

Required Minimum Experience

Minimum 3 years in recruiting required.

A focus on executive recruiting in a healthcare setting preferred.

Required Minimum Skills

Must have exceptional organizational, critical thinking and interviewing skills.

Must be able to communicate effectively with all levels of leadership and maintain excellent customer service.

Must be familiar with employment law, recruitment best practices, and management tools such as position control and Kronos.

Experience with applicant tracking systems is preferred.

Must have overall knowledge with computer programs such as word and excel.

Must be internet savvy and experienced in resume mining online databases.

Requires exceptional communication skills with the ability to effectively support senior leaders within the organization.
