Position Overview Reporting to: Olivia S Farquharson, Marketing Director. Function/Department: Marketing. Schedule: Full Time, On site.
Pavarini McGovern, part of the STO Building Group (STOBG), is seeking a Senior Proposal Specialist based in New York City to support both the NYC and West Palm Beach offices. This role leads strategic pursuits and produces high-quality proposals, presentations, qualification packages, and other marketing materials that position PMG as a builder of choice. The ideal candidate thrives under deadlines, brings creativity and attention to detail, and is energized by shaping PMG’s story to support winning work across multiple markets.

We provide a complete range of construction services, from site selection analysis, design constructability review and aesthetic enhancements to interior fit‑outs, new building construction, and building infrastructure upgrades and modernization.
Key Responsibilities
Lead top pursuits to ensure strategic, high‑quality submissions.
Manage the full proposal lifecycle from RFQ/RFP analysis through final submission, including compliance, differentiators, team resumes, project narratives, firm qualifications, and other required materials.
Facilitate kickoff meetings, develop pursuit plans, coordinate and drive collaboration across operations, estimating, scheduling, safety, and executive teams.
Prepare interview materials such as slide decks, talking points, handouts, and digital/print collateral; contribute to presentation coaching to guide and prep pursuit teams.
Apply knowledge of the construction field and CM/lump sum bid processes to inform proposal strategy and responses.
Create and Maintain Marketing Materials
Design and customize proposal templates, presentation decks, client introduction materials, and branded collateral for consistency and efficiency.
Write, update, and curate project descriptions, resumes, firm overviews, market positioning language, case studies, and other client‑facing materials.
Create and maintain website content and knowledge management materials for awarded projects, documenting progress with photography and video while ensuring brand standards are met.
Manage Marketing Assets & Content
Maintain marketing information systems such as OpenAsset, Cosential, Salesforce, and other CRM or asset management tools.
Develop and update project profiles, qualifications materials, and sector‑specific collateral.
Support PMG’s online presence, social media initiatives, and visual content coordination (photography/video).
Collaboration & Leadership
Establish and maintain effective, collaborative working relationships with PMG senior management, internal teams, and external clients across both offices.
Contribute to annual marketing planning, best‑practice development, and enterprise‑wide knowledge sharing.
Provide support to marketing colleagues across STOBG as needed.
Work both independently and collaboratively with a strong team‑oriented mindset.
Qualifications
Bachelor’s degree (B.A. or B.S.) in Marketing, Communications, Journalism, Graphic Design, or related field preferred.
Minimum 5 years of marketing experience in the architecture, engineering, or construction (A/E/C) industry managing proposal lifecycle; construction field experience is a plus but not required.
Advanced proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop), Microsoft Office (Outlook, Word, Excel, PowerPoint), and Microsoft Teams.
Strong writing, editing, and storytelling skills; able to simplify complex concepts for client‑focused messaging.
Excellent interviewing, presentation, and verbal/written communication skills.
Exceptional organizational ability and proven experience managing multiple deadlines simultaneously.
Professional, confident, and effective when interacting with senior leaders, supervisors, peers, internal teams, and clients.
Strong graphic design sensibility with ability to produce visually compelling, on‑brand materials.
Familiarity with CRM and asset‑management tools (Cosential, Salesforce, OpenAsset, etc.) preferred.
