The Accounting Specialist will work closely with the Controller to assist in the day‑to‑day operations of the accounting department, ensuring accuracy in financial transactions and maintaining precise accounting records. Job Summary

The Accounting Specialist will work closely with the Controller to assist in the day‑to‑day operations of the accounting department. This role requires strong multitasking abilities, a commitment to a collaborative team environment, and ensuring accuracy in financial transactions. Key responsibilities include data compilation, preparation, and verification for maintaining accurate accounting records. Duties and Responsibilities

Process Accounts Payable invoices, ensuring timely payments and proper approvals; print and distribute checks. Reconcile credit card statements by reviewing and processing receipts and associated invoices. Maintain organized accounts payable files and records. Address vendor and employee inquiries related to invoices, expenses, and check requests; assist in resolving discrepancies. Prepare and file 1099s. Generate, print, and distribute accounts payable reports. Perform data entry and manage spreadsheets with accuracy. Assist in monthly closings, including journal entries and any other duties as needed. Prepare and deliver bank deposits. Organize and maintain store audit paperwork. Manage all payroll functions with a strong commitment to accuracy, confidentiality, and adherence to company policies and legal requirements. Handle payroll tasks such as reviewing timecards, manual entry of pay not calculated by timecards, managing late payroll forms, employment verifications, child support deductions, unemployment tax reporting, and reconciling payroll‑related accounts. Work closely with ADP payroll processing. Sort and distribute internal and external mail. Assist in developing and implementing best practices for payroll, accounts payable, and general accounting procedures. Undertake additional accounting duties and special projects as assigned by management. Complete all duties of the job and all work requirements in a timely manner and meet deadlines as required. Bachelor’s degree in Accounting, Business, Human Resources or related field, or equivalent experience; a minimum of a year of full‑time paid employment in accounting or related field. Basic knowledge of accounting functions including payroll and accounts payable. Computer proficiency in Microsoft Office, including Word and Excel. Experience with ADP preferred but not required. Ability to handle and maintain confidential information. Loyalty to the agency and its mission and policies. Strong commitment to excellence and maintaining high standards. Excellent organizational, problem‑solving, and analytical skills. Ability to prioritize tasks effectively and manage multiple workflows. Flexibility and adaptability in handling changing priorities.
