REPORTS TO Senior Property Manager and Director of Property Management

POSITION HOURS 40 hours per week, non‑exempt 8:00 am to 5:00 pm, M‑F or varying shifts to accommodate special assignments and coverage.

POSITION SUMMARY Supports the Senior Property Manager (SPM) and Director of Property Management (DPM) in managing all aspects of a portfolio of commercial, industrial and/or retail properties, including associations and undeveloped land, related to operations and financial activities.

CERTIFICATES, LICENSES & REGISTRATIONS Arizona Real Estate License required. CPM, RPA, or other professional designations or candidacy a bonus.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Under the supervision of the SPM and DPM, is responsible for assisting in all areas defined as part of the Assistant Property Manager job description.

Capable of managing property in the absence of the Property Manager or Director of Property Management. This includes being able to perform all managerial functions which are included in the APM’s job description, as directed by the Property Manager.

Responds to tenant needs, ensuring that administrative and building technical staff resolve problems promptly in a positive, professional manner as well as ensuring compliance with the requirements of the lease document.

Ensures that services are provided in compliance with policies, procedures, regulations and contractual obligations and standards.

May be required to perform regular property inspections.

Contracts for and supervise vendor services as required, including upkeep and administration of required vendor service contracts and/or contractor agreements.

Monitors rent collection and is responsible for preparation of late notices, default notices, lock‑out notices, all in conformance with each tenant’s respective lease and Arizona Real Estate Law.

Maintain tenant and vendor database to include emergency contact information, billing information, general information, etc., and circulate as appropriate.

Coordinates tenant move‑ins and move‑outs, and “walk‑through” of spaces with tenants and tenant improvement department and/or SPM. Prepares required documentation, accordingly, including letters to tenants regarding lease obligations, lease expiration dates, notification letters, renewal/move‑out obligation letters, and return of security deposit letters.

Keeps current and up‑to‑date tenant welcome packets and move‑out information.

Prepares and delivers timely, accurate and complete reports for review by SPM and DPM.

Assists in developing annual budgets for operating and capital expenses.

Prepares monthly performance reports, explaining variances, for review by SPM and DPM.

Responsible for tenant utility activations and disconnects as needed.

Responsible for tracking of Certificates of Insurance (COI) for tenants. COIs must be maintained and updated on a regular basis.

Provides backup and fills in as necessary for Property Administrator as may be required.

Develop business relationships through membership and participation in professional, industry/trade and civic organizations.

Properly use the company‑provided technology to keep records, send and receive communication and use of internet to research materials and equipment.

Actively participate in activities associated with the management of workplace health and safety.

Identify and report in a timely manner any health and safety risks, accidents, incidents, injuries, and property damage at the workplace.

Comply with workplace policies and procedures for risk identification, risk assessment and risk control.

Conform to established dress and appearance standards of the company.

Other responsibilities and accountabilities associated with assigned work.

SUPERVISORY RESPONSIBILITIES

No formal supervisory responsibilities in this position.

Provides informal assistance such as technical guidance, and/or training to co‑workers.

May coordinate and assign tasks to co‑workers within a work unit and/or project.

Education and Experience Bachelor’s degree (BA/BS) from four‑year college or university and a minimum of three (3) to four (4) years of related experience and/or training.

Communication Skills Excellent written and verbal communication skills. Strong organization and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.

Financial Knowledge Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and commissions. Conducts basic financial analysis.

Reasoning Ability Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills. Must be resourceful and independent.

Other Skills & Abilities Intermediate to advanced skills with Microsoft Office Suite. Ability to work within the company’s established standards and procedures, accept guidance and supervision, and meet deadlines as directed. Ability to work with others as a team.

Scope of Responsibility Decisions made with understanding of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short term impact to co‑workers and supervisors.

ESSENTIAL PHYSICAL REQUIREMENTS

Regularly required to stand, walk, use hands to touch and/or handle items, and reach with hands and arms, all for potentially extended periods of time.

Frequently required to sit, walk, or stoop.

Regularly required to clearly speak and hear to communicate with tenants, vendors and co‑workers.

WORK ENVIRONMENT While performing most of the duties of this job, the employee will be in an office environment. Some duties may require employees to move into other areas not designed for office use and may be exposed to moderate to loud noise levels and dust.
