Position Summary The Secretary reports to the program supervisor, assistant director, or director within the assigned program area, supporting programmatic staff to deliver services efficiently.
Required Qualifications
High school or GED diploma
Proficient with technology, including software and web‑based applications
Desired Qualifications
Associate’s degree in a related field
Minimum of two years’ professional office experience
Essential Functions And Responsibilities
Communicate effectively in writing and verbally with stakeholders to deliver high‑quality customer service.
Support data‑driven decisions by collecting, monitoring, and reporting program data using software.
Provide proactive support to programmatic and administrative staff, projects, and initiatives in accordance with IU procedures.
Prepare documents, reports, letters, memoranda, requisitions, and forms using applicable word processing, database, and spreadsheet systems.
Maintain program records, calendars, manuals, filings, deadlines, and communications to ensure continuity of services.
Respond to routine information requests via phone, mail, and email.
Arrange appointments and meetings, including travel and facility arrangements, and follow‑up as required.
Develop and maintain an accessible document management system on various projects.
Assist with conference and workshop support: enrollments, registration, handouts, visual aids, and post‑workshop follow‑up.
Serve in a backup capacity by cross‑training with colleagues in related positions.
Cover reception duties as needed and conduct fingerprinting services for customers.
Perform other related duties as assigned.

Work Environment Professional office environment. The incumbent must sit at desk for extended periods and routinely use standard office equipment, mostly computers, to complete daily tasks.

Travel within IU service area, intrastate, nationally: Rarely
Pushing/pulling: Occasionally ( Manual keying/data entry: Often (30‑60%)
Successful applicants must submit PA child abuse clearance, PA criminal history clearance, and federal history clearance; also complete the Act 168 form for current employer and any previous employer with direct child interaction. A negative TB test is required within three months of receipt of results.
