Job Summary The Purchasing Assistant supports the procurement team by providing cost estimates, creating proposals, and maintaining critical procurement information. The role interacts frequently with internal stakeholders and external vendors, ensuring all materials and services meet safety, health, and environmental standards.
Responsibilities
Coordinate estimating work following established processes and procedures.
Review specifications and customer requirements to determine quality levels.
Obtain material pricing and prepare and submit proposals to customers.
Update customers and internal teams on order status using third‑party platforms.
Order parts, track deliveries, and coordinate with dispatch for installation scheduling.
Contribute to procurement discussions with vendors, stakeholders, and business leaders.
Ensure all vendors and products meet safety, health, and environmental standards.
Prioritize organizational needs regarding meetings, deadlines, and timeframes.
Provide cost estimates in a timely manner to facilitate project tracking.
Process warranties for residential and commercial business.
Maintain current and historical procurement information databases and reports.
Assist with special projects and geographical support as needed.
Qualifications
High school diploma or equivalent. Associate’s degree or additional education is a plus.
Minimum of 1 year estimating or transferable experience, preferably in HVAC and national account work.
Excellent customer service and problem‑solving skills.
Solid math skills and analytical approach to project scoping.
Excellent organization, planning, time‑management, and documentation skills.
Strong research and analytical skills for accurate cost estimation.
Creative, self‑starter with critical thinking and decision‑making abilities.
Effective interpersonal and communication skills, both written and verbal.
Proficiency in Microsoft Office Suite.
Physical ability to perform job duties and willingness to travel when required.
Valid driver’s license and ability to provide personal transportation for job visits.
