As we continue to grow, we are seeking a detail-oriented and highly organized Property Coordinator to support our Property Management Department.

Position Overview The Property Coordinator will provide essential support to the Property Management team, handling administrative tasks, assisting with tenant and vendor communication, and ensuring smooth daily operations. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities Administrative Support

Assist the Property Management Department with daily tasks, including scheduling, correspondence, and document management.

Maintain and organize tenant and vendor files to ensure accuracy and accessibility.

Prepare, issue, and track tenant notices, lease documents, and property reports.

Assist in preparing property management reports and summaries as needed.

Tenant & Vendor Coordination

Serve as a point of contact for tenants, addressing inquiries and forwarding concerns to the Property Management Department.

Assist with tenant move‑ins/move‑outs, ensuring all necessary documents are processed and recorded.

Maintain an updated tenant contact list and emergency contact information.

Coordinate with vendors and contractors to schedule maintenance and repairs as needed.

Track and update vendor insurance certificates (COIs) for compliance.

Track and update roof warranties and HVAC maintenance for lease compliance.

Finance & Lease Administration Support

Assist with processing vendor invoices, ensuring timely payments and accurate record‑keeping.

Support the Property Management Department in monitoring accounts receivable and following up on outstanding tenant payments.

Generate and distribute aging reports, late fee notices, and rent reminders.

Input and update lease information in Yardi and other property management systems.

Property Maintenance & Compliance

Track and coordinate property maintenance requests, ensuring timely resolution.

Maintain records of property inspections, security reports, and work orders.

Assist in preparing safety reports and compliance documentation.

Support annual compliance tasks such as fire drill administration and CAM reconciliations.

Qualifications

Bachelor’s degree in Business Administration, Real Estate, or a related field.

Preferred 2+ years of commercial property administrative experience (experience in property management or real estate preferred).

Strong proficiency in Google Workspace (Meet, Chat, Gmail, Docs, Sheets) and project management software like Monday.

Excellent organizational and multitasking skills with strong attention to detail.

Strong communication and customer service skills to interact with tenants, vendors, and internal teams.

Ability to work independently while managing multiple priorities in a fast‑paced environment.

Experience with Yardi or other property management software is a plus.

Job Type: Full Time

Pay: $50,000 - $55,000

Schedule

Monday to Friday

8:30 am - 5:30 pm

No weekends

Work Location: In person
