ROLE OVERVIEW We are seeking an organized and proactive Event Coordinator to join our team and support the Executive Producer and Event Producer in planning and executing experiential events. This hands‑on role will include a variety of responsibilities, such as location scouting, vendor coordination, project management, and on‑site production management. The ideal candidate will be adaptable, collaborative, and ready to grow within a fast‑paced, dynamic team environment.
*This role is contract-based and is not a full‑time position. Specific contract duration will be determined by the project.
SKILLS & ABILITIES
Event Production Support: Assist in the planning and coordination of events, ensuring all aspects are organized and executed smoothly.
Location Scouting: Help source and vet potential event locations that align with project objectives and client expectations.
Vendor Coordination: Collaborate with vendors to secure the necessary materials and services, ensuring deadlines and quality of standards are met.
Project Management: Assist in tracking project timelines and communicating updates with the production team.
On‑Site Production Management: Support the team during on‑site setup and event execution, ensuring all event components run according to plan.
Collaboration: Work closely with the Executive Producer, Event Producer, and other team members to maintain clear communication and foster teamwork.
Problem‑Solving: Assist in troubleshooting issues as they arise to ensure events proceed without disruptions.
QUALIFICATIONS
Experience: Minimum of 1+ years of experience in event production or a related field.
Availability: Must be available during working hours to communicate via Slack and participate in project‑related internal and external calls. Flexibility of schedule to be available for evening and weekend events.
Technical Proficiency: Experience with project management tools such as Google Suite, Slack, and Canva.
Travel: Must be available for travel as required for event execution.
DETAILS
Title: Event Coordinator
Type: Contract-based
Rate: Compensation will be determined based on experience and project scope.
Working Hours: To be determined by individual contract and project scope.
Schedule: Hybrid; in‑person meetings and work sessions 2 days per week, remote 3 days a week.
Location: Based in Austin, Texas.
