Description This role focuses on providing tenant & building support, vendor, financial and regulatory compliance and team training.
Position Responsibilities
Respond to customer needs for commercial office buildings, coordinate with maintenance staff to resolve problems and maintain positive relationships.
Support PM/SPM in planning, budgeting, operating & capital expenditures; oversee special billings and prepare annual budgets, capital reports, reforecasts & variance reports.
Assist PM/SPM in preparing monthly reporting packages, financial reports for owners/partners.
Assist in training of other team members and contracted personnel.
Perform regular inspections, recommend alterations and maintenance as necessary.
Assist in bidding, contracting for vendor services and supervise as required.
Manage vendor contracts, service agreements, letters, bids for expiring contracts.
Coordinate customer move‑ins & move‑outs and walk‑throughs using Move‑In/Move‑Out Checklists.
Attend pre‑construction meetings and punch walks, coordinate AOP from Lease Administrator to tenant sign‑off.
Support operating expense recovery processes and coordinate tenant correspondence and billings.
Responsible for rent collection (accounts receivable), reporting issues and handling notices, legal documentation, and communications.
Approve invoices & POs in Nexus accounts payable system.
Oversee parking management, parking billing, parking counts and month‑to‑month agreements.
Collect vendor COI’s and process through Certrax insurance software, following up on expired or deficient COI’s.
Handle Angus billbacks, billing verification, monitor utility billings through Enertiv.
Work with CRC/PA and engineering team to monitor and close out office property work orders.
Maintain high tenant retention and positive relationships.
Participate in Community Creator Squad and coordinate community events.
Assist in training, supervision and action of staff under the property emergency response program.
Assist with evacuation drills and emergency response, including after‑hours.
Participate in civic and business organizations; attend BOMA or IREM programs.
Perform ad‑hoc responsibilities as assigned.

Qualifications / Requirements
Bachelor’s Degree preferred.
Minimum 3–5 years of commercial office property management experience.
Basic knowledge of accounting, budgeting, and finance.
Coursework toward an RPA and/or CPM designation desired.
Proficient use of Microsoft Office (Word, Excel, PowerPoint, Outlook), property management software, web‑based systems, and electronic file organization on a shared server.
Physical Requirements
Hearing and vision to observe emergency signs.
Independent movement throughout office and property; perform required tasks consistently.
Lift and/or move up to 25 pounds.
Travel Required Minimal travel, up to 5%.
