Event Registration Specialist - CVENT

We are seeking an Event Registration Specialist to oversee the planning and execution of tasks for MRC conferences and events, enhancing MRC’s reputation for memorable gatherings. This role involves managing all aspects of registration and diverse aspects of event and conference planning, including budget management, venue selection, logistics for equipment, room setups, and coordinating food and beverage services as assigned. The ideal candidate will adeptly handle daily operational details while applying strategic thinking to create truly unique and successful experiences. Key Responsibilities
Manage event logistics for flagship conferences as assigned, including but not limited to, registration setup and coordination, some food & beverage requirements, vendor coordination and management, pre-event logistics/operational details, and on-site event management.
Team lead on all event registration setups, troubleshooting, and reporting.
Onsite management of registration for major conferences, including badge plan, Cvent setup, ordering needs, staffing, etc.
Coordinate and manage temp staff for major conferences, including sourcing staff, staffing needs and assignments, and training.
Obtain vendor quotes and coordinate the selection of vendors needed for meetings as it applies to registration. Overseeing the contracted vendors until the meeting is completed.
Monitor individual budget components and provide suggestions for increased budget efficiency for registration.
Create overall event reports, post-event, providing key data points for all stakeholders.
Team lead for member-only events as assigned by the Director, including all logistic needs (A/V, food and beverage, signage, sponsor fulfillment, etc).
Project management lead of MRC Regional Connect Events, setting timelines, working with sponsors to ensure fulfillment of deliverables, working with the MRC content team to meet agenda deadlines, and all post-event follow-up.
Identify opportunities and develop standardized processes to enhance set-up requirements and overall event management efficiency across various events
Qualifications
Bachelor's degree in event management or related field or relevant on-the-job experience.
Minimum of 5 years hands-on event planning and registration experience.
Proficiency in Cvent registration or equivalentrequired.
Strong negotiation and analytical skills.
Excellent communication and collaboration abilities.
Adept at managing self and projecting a positive image when dealing with high-pressure situations in a constantly changing environment.
Proven expertise in vendor management and team leadership for event logistics.
Proficient in Microsoft Office applications required and CRM knowledge, Salesforce preferred.
Capable of establishing and maintaining effective working relationships with staff, vendors, and facility users and MRC team members.
Must be able to work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) workdays, and extended numbers of days.
Ability to travel domestically and internationally for on-site event management.
Fluency in Portuguese not required but considered a plus.
