Responsibilities

Moderate live provider and patient webinars, including speaker coordination, attendee management, and Q&A facilitation Handle pre-event logistics: scheduling, registration setup, promotional emails, and reminder sequences Manage post-event follow-up: follow-up emails, attendance reporting, and lead handoff to sales Maintain the annual webinar calendar and ensure events stay on schedule Upload webinar registrants and attendees to Odoo, tag by event, and ensure MQLs are routed to the appropriate sales contacts Update portal content and banners in accordance with the webinar event calendar Own the company conference and tradeshow calendar, including key dates, registration deadlines, and internal milestones Coordinate booth registration, sponsorship paperwork, and vendor logistics (electricity, WiFi, lead scanners, etc.) Manage conference budgets, track spend against plan, and reconcile expenses post-event Scout and evaluate new events for the following year; present recommendations with audience fit, cost, and expected ROI Lead internal alignment meetings in the weeks before each show to confirm staffing, messaging priorities, and booth setup Coordinate shipping and receiving of booth materials, signage, and promotional items Assist with pre-conference prep: packing kits, organizing collateral by event, and tracking inventory Upload leads to Odoo post-event and coordinate lead assignment with sales Manage booth asset inventory (banners, displays, tablecloths, monitors) and flag items that need repair or replacement between events Compile post-event recaps including lead volume, cost per lead, and qualitative feedback to inform future event decisions Plan, create, and publish content across all brand social channels (LinkedIn, Instagram, Facebook, YouTube, X, etc.) Maintain a content calendar aligned to campaign themes, product launches, and seasonal initiatives Monitor engagement, respond to comments and messages, and report on performance metrics quarterly Stay current on social trends and platform changes relevant to healthcare and wellness audiences Requirements

Bachelor’s degree or equivalent experience 1–3 years of experience in a marketing execution role (social media, events, content, or similar) Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign) at a template-editing level Strong organizational skills with the ability to manage multiple deadlines across concurrent projects Comfortable with webinar platforms (GoTo Webinar, or similar) Clear written communication skills Flexibility to support after-hours webinar events (typically 1–2 per month) Ability to lift up to 50 lbs for conference material packing, shipping, and setup; willingness to travel 1-2 times per year for events Based in or willing to relocate to the Clearwater, FL area; this role requires 3 days per week in-office Preferred

Experience in healthcare, pharmaceutical, or wellness marketing Familiarity with CRM platforms, particularly Odoo Basic understanding of SEO principles, Google Analytics, Hotjar, or Google Search Console Experience coordinating trade show or conference logistics Video editing skills for webinar recordings or social content Benefits #J-18808-Ljbffr
