
Responsibilities
Own the end‑to‑end event lifecycle (strategy, planning, execution, and follow‑up) for client and prospect programs—webinars, seminars, client forums, and partner activations—against business development goals and an annual events calendar Build project plans and run‑of‑show timelines; define milestones, owners, and proactively escalate potential roadblocks Source and secure venues/vendors (A/V, catering, décor, transportation); negotiate terms, and coordinate day‑of logistics and load‑in/out Set and track budgets; reconcile final actuals against budget; report cost per registrant/attendee Coordinate staffing plans (greeters, speakers, exec hosts) and on‑site roles; lead day‑of execution and post‑mortems Build and manage registration sites and workflows including confirmation, reminder, and waitlists, own attendee data hygiene and list management Coordinate speaker briefings, agendas, and presentations; collect, QA, and distribute materials; manage event collateral and signage. Define and track success metrics (registrations, show rate, engagement, satisfaction/NPS, cost/attendee, influenced/sourced pipeline in partnership with) marketing team Requirements
2+ years of marketing experience preferred 2+ years managing logistics for events, including multiple events simultaneously Experience working for an organization that provides retirement plan services a plus Exceptional organizational skills with the ability to prioritize effectively Proactive, self‑driven, and able to take initiative without prompting Excellent communication and interpersonal skills; able to work confidently with internal and external stakeholders High attention to detail and commitment to accuracy, quality, and meeting deadlines Proven ability to manage multiple tasks and projects simultaneously Benefits
