The main purpose of this position is to handle the full property management function for a portfolio of commercial buildings. This includes rent collection, property administration, leasing, lease renewals, maintenance, and facilities management. Duties & Responsibilities
Requirements:
Matric Tertiary qualification essential 2-4 years experience in the
commercial property
industry. Duties: Rent Collection:
Ensure that all lease and associated documentation is correctly and timeously captured onto the company file server and hard copy filing system. Ensure information contained within lease documentation is correctly captured onto the MDA system. Ensure that the pre-billing and rent roll reconciliations are correctly compiled for billing purposes. Ensure that tenant statements of account reflect the correct balance owing. Administration:
General correspondence regarding the day-to-day requirements of the portfolio. Ensure that adequate steps have been taken to recover utilities, assessment rates, and other operating costs. Compile comprehensive reports to stakeholders regarding administration, vacancy schedules, property portfolio lease particulars, incidental and preventative maintenance requirements, and budgeting. Collect and peruse accounts for payment. Compile minutes for proper records of meetings. Compile and distribute agenda and documentation for meetings. Ensure correct procedures for take-on and termination of managed buildings. Ensure the website is updated with the latest developments and existing property vacancy details. Professionally represent the company on various body corporates. Manage local community relationships. Leasing:
Draw up offer, lease, and associated documentation. Ensure documentation is correctly signed by the parties. Ensure contents of concluded lease agreements are correctly captured on the MDA system. Regularly distribute updated vacancy reports to brokers. Maintain ongoing communication and liaison with brokers. Lease Renewals:
Communicate with tenants to initiate negotiations for lease renewal. Draw up leases and associated documentation. Ensure documentation is correctly signed by the parties. Ensure contents of concluded lease agreements are captured onto the MDA system. Manage tenant relationships. Maintenance and Facilities Coordination:
Negotiate maintenance and service provider contracts, ensuring adequate SLA's. Conduct periodic inspections of units, buildings, and properties to establish maintenance requirements. Field telephone calls and correspondence regarding incidental maintenance requirements. Conduct tenant handover and take-back inspections, compiling appropriate reports. Conduct regular meetings with service providers. Drive the process of building and precinct improvements. Package & Remuneration
