Base pay range
$69,396.00/yr - $100,580.00/yr The Tax Analyst will be responsible for supporting the family office in its management of the overall tax position of the investment company’s operations as well as the management of family’s tax planning and compliance obligations. The Family Office Analyst will work on all aspects of financial management, associated transactions and related cash management activities for five family branches (currently serving sixteen separate family units). The job functions include tracking financial transactions, coordinating bank transfers, reconciling balances, preparing personal financial statements, monitoring brokerage account activity, and assisting with individual and trust tax filings. The individual will collaborate closely with other financial professionals in the office, as well as external bank, legal and accounting firm contacts. The position reports to the Vice Presidents of the Family Office. Essential Functions: Tax-Related Support Prepare Investment Company Federal and state partnership income and franchise tax returns including calculations for extensions and quarterly estimated tax payments. Responsible for all tax return data gathering from internal and external data sources. Monitor tax department technology tools, including tax compliance and research packages, and coordinate additional training when needed. Maintain detailed tax return and planning project files. Coordinate data gathering for all individual and trust tax return compliance directly with family members, maintain current record of open items and progress toward completion of the annual compliances processes. Coordinate all aspects of tax payments for family members, including monitoring cash balances, preparing checks for estimated and extension payments, certified mailings, tracking refunds, etc. Maintain a current inventory of charitable donations, gifts, and other cash transactions for tax compliance purposes. Review and coordinate responses to tax notices for review by senior Family Office tax staff. Coordinate data gathering for requests by external service providers related to their tax return preparation, review or outsourced tax projects. Coordinate data gathering and responses for income tax audits with governmental agencies in response to information and document requests for review by senior Family office tax staff. Monitor legislative changes and review them with senior Family Office staff for potential communication to management, stockholders and Board of Directors. Provide household employee support for family members including preparing payroll schedules, filing annual reports, coordinating tax filings, etc. Financial Management and Record Keeping Regular monitoring of cash balances in all shareholder and trust accounts and coordination of cash transfers. Communicate to family members when discretionary distributions are to be paid, coordinate where funds are to be received, and provide details of the distribution, track/replenish cash reserves, and monitor cash needs. Maintain Archway reporting for family investment accounts. Manage line of credit activity including tracking line balances, coordinating interest payments, tracking renewals, and reconciliation against line activity records at various banks. Assist with various other bank activities, such as preparing new account paperwork, processing stock & annual exclusion gift letters, etc. Update deal activity and individual security pages by individual; also, utilize and update databases for cash flow assumptions related to projected deal fundings & payouts. Update quarterly dividends spreadsheet for major investment holdings. Prepare and review Excel-based reports for all family members. Prepare Family Balance Sheets as needed. Client Service Assist with a variety of projects from the financial and planning group or cross-functionally (Investments, Family Services, Private Trust Companies, and Legal). Support changes to and enhancement of the family governance model, including establishing policies and procedures. Create and maintain documentation for financial related family office transactions. Pursue continuous improvement of the Family Office organization. Office and Client-Related Administration Timely and regular filing of all client account statements, as well as organizing receipts for distributions for select family members. Assist with various other family-related projects, as needed. Education and Training: Bachelor’s degree from four-year college or university. MSTor CPA and experience providing services for individuals and their operating businesses preferred. Law degree a plus. 2+ years’ experience in related field. Public accounting experience (preferably Big 4) a plus but not required. Minimum Qualifications: Experience working with pass-through entities and/or closely held companies a plus. Excellent documentation skills: ability to document, analyze and present information in report form, either narrative or spreadsheet. Strong analytical and research skills required. Must be able to identify income tax issues, gather relevant facts, research using various tax resources and apply law to various fact patterns. Effective communication skills: must be able to interact effectively with a variety of internal and external stakeholders as well as outside advisors. Strong written, verbal, and interpersonal skills. An ability to comfortably interact with both clients and staff, and present complex ideas. The ability to work with tax and other finance colleagues as a team member and foster a team spirit. Must be able to focus on multiple complex issues and decision paths. Strong project management skills. Strong organizational and documentation skills: must design and/or maintain systems that document analysis and present information in report form, either narrative or spreadsheet. Computer skill requirements including intermediate MS Office, tax and accounting software knowledge required. Environmental Conditions: Office Setting Be a self-starter with an ability to address strategic issues as well as day-to-day operational concerns. He or she must be approachable, open-minded and gain the trust and confidence of senior executives and stockholders quickly. Has a “can-do” attitude with exceptionally strong critical thinking skills and the flexibility to work in a complex organizational structure. Comply with all company policies, procedures, ethical standards and regulatory requirements. Adheres to the utmost level of confidentiality. Excellent follow-through and unquestioned ethical behavior. Rate: In accordance with applicable pay transparency laws, the annual salary range for this position is $69,396 - $100,580 USD. Final compensation will be determined based on factors such as experience, education, qualifications, and other job-related criteria.
