Essential Job Functions The Judiciary Clerk performs case processing duties and responsibilities daily, handling a high volume of data entry for multiple case types including civil, criminal, and juvenile. Duties include receiving cases and pleadings, performing cashiering duties, processing fees with a computerized cash register, delivering cases to appropriate desks for docketing, managing court files, issuing summonses, subpoenas, and orders, and providing customer service to the public, attorneys, and court‑related agencies in person and by telephone while adhering to office guidelines and policies.
Essential Duties and Responsibilities
Greets and assists the general public and court personnel, responding to inquiries about court forms and policies.
Prepares case files and ensures documents are complete and accurate following court procedures.
Reviews and processes legal documents such as bench warrants, bond forfeitures, subpoenas, summonses, appeals, continuances, and commitment papers.
Receives, enters, and accounts for all monies received by the court for fines, costs, and other fees using a computerized cash register.
Performs other duties as assigned.
Education High school diploma (or GED equivalent).
A Bachelor's Degree may substitute the required work experience.
A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.
Experience One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
Knowledge, Skills, and Abilities
General office practices, procedures, and equipment.
Standard legal forms and documents used in the Judiciary.
Basic English and arithmetic including spelling, punctuation, addition, subtraction, multiplication, and division.
Customer service and handling problems tactfully and patiently.
Active listening, empathy, problem solving, and communication.
Accuracy and attention to detail.
Typing on a personal computer and typewriter.
Use and maintain alphabetical and numerical filing systems.
Use standard office and business equipment including, but not limited to, personal computers, Microsoft Office, spreadsheets, database software, copier, register, scanner, fax machine.
Understand and abide by department rules, regulations, and procedures.
Communicate clearly, tactfully, and effectively with the public, police agencies, attorneys, and court officials, both verbally and in writing.
Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
Follow procedures, instructions, and protocols for any assignment.
Use proper grammar, punctuation, and spelling.
Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, or regulation.
Physical Requirements Sedentary work; may exert up to 10 pounds of force occasionally or a negligible force frequently or constantly to move objects, including the human body.
Software and Computer Skills Microsoft Office, MDEC, Adobe Suite or SharePoint, Odyssey.
