Position Summary The Executive Administrator II provides high‑level administrative and operational support to executive and senior leadership. This role requires exceptional professionalism, discretion, and the ability to manage multiple priorities independently. The Executive Administrator acts as a key liaison across departments, represents executive leadership with internal and external stakeholders, and contributes to projects that support organizational efficiency and effectiveness.
This position is classified as a Level 4 Administrative Assistant and requires minimal supervision. The role is primarily focused on creating, developing, and leading administrative processes rather than routine maintenance.
Key Responsibilities
Provide comprehensive administrative support to executive and senior‑level leaders
Manage and screen incoming calls, emails, and correspondence
Coordinate complex calendars, schedule meetings, and manage competing priorities
Arrange domestic and international travel, meetings, and events
Prepare professional correspondence, presentations, reports, and financial data
Maintain and handle confidential and sensitive information with discretion
Interface with internal departments and external partners on behalf of executive leadership
Lead administrative projects and process improvements
Train, mentor, and support other administrative and office staff
Perform additional administrative duties as required
Skills & Qualifications
Excellent verbal and written communication skills
Advanced proficiency in MS Office (Word, Excel, PowerPoint) and email systems
Strong typing and dictation skills
Proven ability to multitask, prioritize, and work independently
Strong administrative coordination and organizational skills
Customer service–oriented mindset with a high level of professionalism
Experience handling confidential and sensitive information
Demonstrated ability to manage, train, and mentor office staff
High attention to detail and accuracy
