Job Description The Employment Specialist I coordinates front‑desk operations for the Employment/Talent Acquisition Department. They perform candidate onboarding and support responsibilities as delegated by Employment Services Leadership to assist with recruitment, onboarding, and hiring according to established procedures and policies. The role includes administrative responsibilities to maintain confidential records associated with the employment process, process I‑9s through the I‑9 lifecycle in compliance with Federal regulations and guidelines (including E‑Verify), meet with new hires and finalize new employee paperwork, complete badge issuance, and handle other duties as assigned. Key Duties and Responsibilities Complete pre‑hire and onboarding tasks for new hires:
Respond to internal and external HR related inquiries or requests and provide assistance. Meet with hires to complete necessary paperwork. Assist new hires with onboarding questions (e.g., resetting passwords). Assist in ad‑hoc HR projects. Coordinate and manage onboarding appointment calendar/system, including rescheduling. Create, print, and scan ID badges; edit UAB CHEF Badge System as needed. Distribute ID badges to new hires.
Complete administrative tasks related to candidate onboarding to facilitate smooth operation for staff and visitors:
Answer questions concerning departmental issues from visitors or telephone calls when appropriate. Redirect HR related calls or distribute correspondence to appropriate team member. Liaise with other departments/functions (payroll, records, etc.). Participate in cross‑functional training for new Employment Staff Members. Assist employees with ID badge replacement.
Perform general office and administrative tasks, maintain confidential files:
Monitor systems for I‑9 accuracy. Maintain employment supplies, equipment, and forms inventory. Maintain badge supplies, equipment, and forms inventory, including UAB Emergency Badge Cards. Process invoices for payment. Assist with making ID badges for new hires and other employees. Administrative tasks as delegated by Leadership. Maintain I‑9 files; review forms for audit purposes. Submit competency related documents to imaging.
Qualifications Position requires a bachelor’s degree in Human Resources, Business, or related field, or equivalent experience. One (1) year of experience in employment/recruitment or business office setting. Must be proficient in Microsoft Office, possess exceptional telephone and customer‑service skills, and be knowledgeable of English grammar and punctuation. Relevant work experience may substitute for the degree requirement. Preferred: Previous experience in Human Resources in a healthcare recruitment setting and processing I‑9 documents; experience with E‑Verify.
